  1. Setting up and maintaining your agency and the employees. I-Time for CPO’s When there is a pause in the show, click the down arrow on your keyboard to advance.

  2. Your TEL structure should be in place before you continue… if it isn’t Please see CPO Establishing your TEL Structure Just a reminder…

  3. Maintenance When you hover over Maintenance or click on the button you will have the following options.

  4. Agency Maintenance When clicked, the screen below will be displayed. Your Agency Code and a description will be displayed. Click Save to keep your changes. If a notice exists, a message similar to the one shown below will display on the left side navigation of each time sheet. Click in the appropriate box to indicate which cost accounting method you use. If you leave this blank, cost accounting overrides will not display, on the time sheets. You can type a notice for all your employees. Notices can be up to 78 characters.

  5. Time Code Maintenance When clicked the screen below will appear. Click Save to keep your changes. All available Time Codes will be displayed with ACT Enabled Click in the appropriate box to enable any other Time Codes your agency uses. A combination of numbering and enabling can be used. Numbered codes will appear first and the rest will be in Alpha order after the last number. If you would like the time codes to display in a certain order you can type a numeric value in each box to indicate that order.

  6. Time Entry Location When clicked the screen below will appear. Click Find to open the TEL Maintenance Screen Click on the drop down arrow and select either Create New Location Or The TEL you need to work with.

  7. TEL Setup Click Save to keep your changes. When Find was clicked the screen below opened. If you are doing your original set up, it is very important that you start at the top of your TEL Structure, and DO NOT USE SPECIAL CHARACTERS TEL names can be alpha numeric and are limited to 25 characters, spaces are allowed. The Description is optional, and can be used to further identify the TEL Link to TEL, if you are doing your original set up, this will be left blank for the Top TEL. As you continue through your set up an Uplink TEL will be selected to create the hierarchy structure of your agency. Throughout the setup these fields will be populated as you complete the employee profiles.

  8. TEL Maintenance Click Save to keep your changes or Delete to remove an entire TEL from your structure. When Find was clicked the screen below opened. To change or correct a TEL name highlight and type over the existing name. The Description is optional, and can be used to further identify the TEL. To change or correct a Description highlight and type over the existing name. To change the uplink TEL, select a different TEL from the drop down menu. The designated Approver is now displayed. To change the Approvers, Reviewers, TET’s or TEA’s, click on the down arrow and a selection screen will be displayed. Note: These fields can also be maintained on the employee profile.

  9. New Employee When clicked the screen below will appear. Click Find to open the Employee Maintenance Screen Initially, all of your agency employee’s, except for your original CPO, will be displayed here. You will see the employees name, SSN and PCN (if they are a multi PCN employee, each PCN will be displayed.) Click on the name of the employee you want to set up, which will highlight their name. You can also choose to work within a specific pay location or by entering the employee’s SSN During your initial set up start with any other CPO’s and then do the Approvers, then employees.

  10. Employee Profile Maintenance When Find was clicked this screen opened. The upper portion of the Employee Profile Maintenance contains information from their EIS record. A Batch number will be generated for each employee when the profile is saved. The only item that can be entered on the top half is the Position Effective Date (In your initial setup you can click ByPass Date:) If you enter an effective date, any days prior to that will not be available on the employees time sheet. On the lower portion you set up the employee’s I-Time profile. Select the TEL where they are an employee. Is their time going to be entered by a TEA, Only select if this will happen on an on going basis. Do they need a Standard or a Cost Distribution Time Sheet Do they have an extra role.

  11. Employee Maintenance When clicked the screen below will appear. Click Find to open the Employee Maintenance Screen After they have initially been set up your agency employees will be displayed here. You will see the employees name, SSN and PCN (if they are a multi PCN employee, each PCN will be displayed.) Click on the name of the employee you want to set up, which will highlight their name. You can also choose to work within a specific TEL, pay location or by entering the employee’s SSN

  12. Employee Maintenance When Find was clicked this screen opened. The upper portion of the Employee Profile Maintenance will now contain a five digit batch number. On the lower portion you can make changes to the employee’s profile. Change the TEL where they are an employee. Indicate if their time is now going to be entered by a TEA. Only select if this will happen on an on going basis. Are they changing to a Standard or a Cost Distribution Time Sheet Are they changing roles within this PCN’s?
