  1. RLA Residence Life Administration (Training for Student Staff)

  2. Purpose of RLA • RLA is the computer system for Residence Life Staff to use for checking-in, monitoring, querying, checking-out and accessing resident and room information. • We use it for check-in, key tracking, ordering reports and rosters, issuing temp id cards, viewing student housing records, check-outs, etc.

  3. Accessing RLA • Enter the “Staff Zone” page: (www.utexas.edu/student/housing/staff/) • Click Web Applications from the left menu. • Choose the “Residence Life Administration"

  4. Accessing RLA • Enter your UTEID and password

  5. Section Overview • Opening Screen has 3 sections • Query/Search: query’s information as related to a particular incident or resident. • Function Navigation: lists the available functions • Working: area that allows the user to add, update, and/or list particular reports

  6. Opening Screen Query/Search: query’s information as related to a particular resident, room, and/or building.

  7. Opening Screen Function Navigation: lists the available functions. These functions will be reviewed one at a time.

  8. Opening Screen Working: area that allows the user to perform certain functions. Each of these screens will be explained with each function.

  9. Query/Search Functions • To Look Up Student Information • Number on ID card starting with 900 or • Social Security Number • Select a Year/Semester: This would refer to the contract start date, not the date of the semester that is currently in session. • Year-200? • Semester-Number refers to the number of the first full month of the school for the session. • 9=September (Fall) • 2=January (Spring) • 6=June (Summer) • To Look Up Building Information: • Enter the building code. If you click on the word Building, a pop-up menu will pull up and you will get a listing of all the buildings and their codes. • To Look Up Room Information: • Enter the building code and then the room number.

  10. Function Review • For the various functions seen in the navigation bar to the left, you must enter the resident id #, room # and/or year/semester info accordingly, then select the function. • Each function will be described in further detail.

  11. Function Review-Check In • Use this function when a student first checks into the residence halls. • If a student is moving from one room to another after initial check-in, use the change room function. • This screen provides a lot of information regarding the resident’s room, roommate, RA, etc. • The current date will automatically enter. • Enter the residents key letter and number code. • Click Check-In

Check-Out Function Review-Check Out • Use this function when a student moves completely out of the halls. • If a student is moving out of your building and to another, use the change room function. • Check whether the resident: • Returned Key Same • No Key Returned • Returned Key Different • If Returned Key Different, enter the code and number of the key retuned. • Click Check-Out

  13. Check-Out Function Review-Check Out If a resident is not authorized to check out, but decides to leave, a message will appear in red above the check-out function, stating that this person is not authorized to check out of the hall. An HC should be contacted to override this.

  14. Function Review-Change Room • Use this function when a student moves from one room to another (either in the same hall or to another hall). If the move is inter-hall, both halls will need to complete their section of this screen. • If the student has already been approved for a room change, information will be requested here to help complete the room change process • Note: This screen will include a message about how long a student has to complete the room change process. Make sure you read this to the student. • (No graphic is available at this time.)

  15. Function Review-Temp ID Card • Use this function for viewing/issuing/removing temporary ID cards. • Fill in all the digits of the Temp Card. • Expiration Date will default to 3 days. By that time, the resident should have a regular student ID. • Click Issue Temporary Card • You can use this screen to search for who a temp card may be assigned to. • NOTE: RLA will automatically update the resident’s access in CCURE. You do not need to change the card number in CCURE.

  16. Function Review-Change Key • Use this function for changing a resident’s permanent key. This should not be used for temporary lock changes. It is used mainly for lock changes. • Fill in all the letter and number code of the new key assigned. • Fill in the letter and number code of the key turned in (if applicable). • Select reason for key change. • Click Change Key

  17. Function Review-Late Check Ins/Outs • Use this function to list all those residents in your building who are late completing in completing a room change. • Fill in the Building Code of the query section to run this report for your building. • You will want to check or have your AA check this daily to stay on top of the late moves, etc. • There is no graphic for this function at this time.

  18. Function Review-General Help • Use this function for a pop-up window giving details about the various functions.

  19. Function Review-Arrival Date • Although this function is in the list of available functions, student staff are not authorized to perform this operation.

  20. Function Review-View Student Rec • This screen provides a lot of useful information about a resident.

  21. Function Review-List Rooms • Use this function to query certain types of rooms, available rooms, rooms in sequential order, etc. • This function will show you they type of room, if it is occupied, its capacity and spaces available, bath type, gender, and who its occupants are currently.

  22. Function Review-Search By Name • Use this function to search for a resident’s student number. • Enter the last name, first name (partial entries will take you to the closest resident’s name available, click Search. • Results will show with those closest to the match. You can search again if first search was not successful.

  23. Function Review-Hall Search • Use this function to find out where a resident lives. Must have residents 16 digit ID number.

  24. Important Information • Each staff member should log in and out when utilizing RLA. You will be held responsible for any actions taken on your logon ID. Remember the system records who is responsible for every action taken.
