  5. Getting Information for the Exit Screen • Run the report to get the list of students on a regular basis (weekly would be best). • This lists students who left the district in grades 7 to 12. Filling out the screen is optional for other grade levels (and I won’t review them). • Call all contact numbers – make more than one attempt. • Before the exit screen is filled out, the exit date should be the last day of attendance or suspension. (Or else we might have overlapping enrollment with another district.)

When do I fill out the exit screen? • DON’T fill it out for students not in Grades 7-12. • DON’T fill it out if the student is staying in SDUSD (including district charters). • DON’T fill it out if you have incomplete information on the student. • DO fill it out for students in Grades 7-12. • DO fill it out if the student didn’t return to SDUSD. • DO fill it out if you have complete information on the student.

  8. Reminders: • Don’t fill out the exit screen if the student is staying in SDUSD, including any district charter school or an HSDP. When a student transfers to an HSDP, the exit code on the general tab should be “Transfer AdultSch for Diploma.” • Don’t certify a student as a dropout (e.g., 140 exit code) when he or she will be re-enrolling somewhere else, but you just don’t know where. Call the student’s contacts! • Please check “ready for review” and update the date and name fields when you’re done. • Students will stay on your school’s list until they have either re-enrolled in the district or have an approved exit screen.

  9. Reminders, continued • Juvenile Hall is coded as a public school. Code all county programs (e.g., Juvenile Hall, Summit) as 160 (enrolled in a CA public school) or 165 (expelled and enrolled in a CA public school). • Juvenile Hall = Mesa Region Court • Metro = Metro Region Community or Court • Others = Mountain Region Court (Campo), East Region Court (La Mesa), South Region Community (National City), etc. • The date field is the day the exit screen is filled out or updated, not the student’s exit date. • Check online for the school’s official name before giving up and saying that it’s not listed: www.cde.ca.gov/re/sd/. If you still can’t find it, select another school from the list and enter the actual school name (and address) in the additional information section.

Revising the Exit Screen • If the information is not complete or correct, I will mark it as “not approved.” That means that you need to address my comments in the “Central Office Use Only” field and make the appropriate changes. • Once the exit screen is updated, make sure your name is entered, you re-enter the date (today’s date), and check “ready for review.” • Students who are not approved, even if filled out and ready for review, are still counted in the CALPADS error list. • If the exit screen is approved, you don’t need to update it again, unless the student re-enrolled and left again. Look at all the dates (exit date, your date, and my approval date).

  24. Exit Screen Due Date • IT will update graduates from Grad Docs around early October. So, make sure Grad Docs is accurate. • So, concentrate on students who didn’t graduate and who left in 2011-12 and who were no shows in 2012-13. • Make sure that students who haven’t shown up to school are dropped on time. Please make sure that attendance records are accurate. • All exit screens for this group of students must be accurately completed by October 19, 2012.

  29. Miscellaneous Zangle Reminders Please leave the state field blank when a student is born outside the U.S. (We’ve seen entries where the state is Pennsylvania but the country is Iran.) Leave blank when student is born out of the country.

  30. Please also be careful when selecting “United States.” Sometimes, “United States Minor” is accidentally selected: “United States” at the very top of the drop-down menu, while “United States Minor” is near the bottom. So, make it easy on yourself and just pick the first option instead of scrolling down and looking for it alphabetically.

  32. “Three Previous” Fields • If the student never was in a CA public school, and they were in: • Private school, enter “private” in district field and the name of the school in the school field. • A school in another state, enter “out of state” in district field and the name of the school in the school field. • A school out of the country, enter “out of country” in the district field and the country in the school field. • For kindergarteners (who were never enrolled in a public school for preschool), enter “none” for district and school. • Do not enter “NA” or “none” for students who have attended a K-12 school somewhere on earth. • Why? Assigning state IDs…

  33. Finding a student reminder • When enrolling a student, be careful not to create another local ID for that student. • Even PK and K students may already be enrolled in Zangle. • If you create or discover a student with more than one ID, please call the Help Desk. • Finally, don’t use any special characters in the student’s name (e.g.,á, ë, ñ).
