The first step in finding virtual office space is knowing exactly what you need.  How many employees do you currently have and will be adding?  Are your employees outside of a 50-mile radius of your physical office, or are they on different continents?  Do you require a specific amount of space, or would any virtual office space in a 50-mile radius of your physical office suffice?  What other features do you need out of an office (conference rooms, meeting spaces, etc.)?  1) Know your needs

If you’re working from home, a virtual office can provide a way for clients and potential business contacts to get in touch with you without invading your privacy or space.  Depending on how many employees you have and how long you plan on being around, an executive suite may be ideal if having separate offices with extra amenities like receptionists and dedicated conference rooms appeal to your business. And, of course, there are plenty of other options available.

  4. 3) Who is your target market? Before searching for virtual office space, it is imperative to determine your target market. In other words, how large is your potential customer base? Consider who will be using your product or service and determine if you are serving them well enough with what you have in place right now.  When contemplating a change in location and business model, it’s easy to assume that everyone is within driving distance of your physical location, but they may not be. Once you identify your target audience, take some time to research where they live, work and play.

Don’t neglect convenience factors, such as your proximity to clients or nearby amenities. Price, too, is an important consideration. If you’re operating on a tight budget, choose a space that offers great value. You can likely find cheap virtual office space that meets most of your needs!  Keep in mind that some providers offer special discounts and even free trial periods if you ask nicely. But don’t feel like you have to stick with just one provider; it may make sense to switch providers from time to time. Especially if one location isn’t working out as well as expected.

  6. 5) Compare location and benefits Before you make your final decision, compare all of your options. Take into account things like cost, location and amenities offered by each business centre. Research their clientele and reviews online if available.  If necessary, schedule a visit so you can see how it operates firsthand. Asking friends who already have a home office or coworking space may help too. You’ll want to find a virtual office that fits your needs as closely as possible.

Usually, they charge by square footage and give you a certain number of conference rooms and desks, often with unlimited phone lines, e-mail addresses and other features.  In your research, make sure there’s no per-call fee for using these features, as that can eat into your budget. Also check if any equipment or furniture is included in your price, or if it’s extra. If so, try to get an idea of what those costs will be before signing up.
