  3. Why do we have Financial Aid SAP? • Federal Regulations require that Colleges establish Satisfactory Academic Progress (SAP) standards for students applying for and receiving federal aid. FA SAP Quiz - Spring 2010

What is SAP? • SAP regulations require that your academic history be reviewed at the end of each Fall, Spring, and Summer sessions to make sure that you are making satisfactory academic progress towards your educational goal. • SAP is a measurement of your Qualitative (GPA) and Quantitative (Units) Academic Progress.   5. Where can I find Hartnell’sSAP Policy? • On your award letter, you are given a link to access our SAP guidelines online via the Hartnell College Financial Aid Department website under Financial Aid Forms and Agreements page. FA SAP Quiz - Spring 2010

Disqualification SAP Status: • There are 6 possible reasons that you have been placed on Disqualification: • You were on SAP probation the last semester of attendance at Hartnell. • Your GPA was below a 2.0 for the last two semesters. • You failed to complete at least 67% of all the units you attempted during the last semester or overall. • You have attempted over 60 units and your GPA is below a 2.0 for the current semester or overall.   7. Disqualification SAP Status Cont. • You have “Attempted” or “Completed” over 90 units. These units will include ALL units completed at any prior colleges you have attended. All units are counted, even college units earned while in high school even if you did not receive Financial Aid. • You have already received an AA/AS degree. FA SAP Quiz - Spring 2010

  8. What are the SAP Rules? • The qualitative measurement for SAP is your Grade Point Average (GPA): You MUST maintain the following: • Your semester GPA must be a 2.0 or higher. AND • Your cumulative (overall) GPA must be a 2.0 or higher. FA SAP Quiz - Spring 2010

  9. What are the SAP Rules Cont.? • The quantitative measurement for SAP is your units completed. To maintain satisfactory academic progress, students must complete at least 67% of all units attempted per semester and overall. • The 67% rule is explained as such: If you registered for 17 units and only completed 10 units, you have only completed 59% of the units attempted. You can derive the percentage by dividing the completed units by the attempted units (10 / 17 = 59%). FA SAP Quiz - Spring 2010

  10. What are the SAP Rules Cont.? Return to Title IV (R2T4): • Return to Title IV (R2T4) is defined as when a student completely drops “ALL” courses. • If you withdraw from ALL of your classes before completing more than 60% of the semester, or receive all “F” and/or “NP”, you will be required to return any unearned federal funds.   11. What are the SAP Rules Cont.? Length of Eligibility • Federal regulations require colleges to establish a maximum time frame during which students are eligible to receive financial aid not to exceed 150% of an academic program. The 150% for Hartnell Community College (HCC) academic programs is 90 cumulative units attempted (except for high unit majors). Students are no longer eligible for financial aid after attempting 90 units, whether or not financial aid was received. FA SAP Quiz - Spring 2010

  12. What are the SAP Rules Cont.? Excessive Units • An excessive worksheet must be completed by a Hartnell Counselor if the student has attempted 90 units or more. • All units attempted are counted even if the student attended Hartnell while still in high school or if the student attended another college whether or not financial aid was received. Financial Aid Appeals Process: • A student may appeal to be reinstated by submitting a FA Appeals Form no later than May 6, 2010. • Appeals may be filed for the following extenuating circumstances: • Medical Problems • Family Emergency • Other Documented Extenuating Circumstances FA SAP Quiz - Spring 2010

Financial Aid Appeals Process Cont.: • All students wishing to file a FA Appeals form must meet with a Hartnell Counselor for a completion of an Educational Plan. • A FA Appeals form must be completed in it’s entirety. Do NOT leave it blank as it could hold up your Appeals form being processed. • You must have 1 declared academic major that you must be following for completion. (Check with Admissions & Records if you need to update your major.) FA SAP Quiz - Spring 2010

Financial Aid Appeals Process Cont.: • The Appeals Committee consists of five Hartnell faculty and staff: • Three Financial Aid Professionals • Two Academic Counselors • All decisions made by the Committee will be sent to the student by mail approximately 2 weeks after the Committee has met.   16. Financial Aid Appeals Process: • The Appeals Committee reviews each student appeal form and makes decisions based on a set criteria for ALL Students. • All Appeals Committee decisions are final. FA SAP Quiz - Spring 2010

  17. What’s the Next Step? • Make sure you put your email address on the SAP Quiz. You will automatically be emailed your SAP quiz results within three working days. (Check your email address on PAWS for Students to ensure we have your correct email.) • If you successfully passed the SAP quiz, you will be emailed a FA Appeals form. • If you did not pass your SAP quiz, you will be notified by email and you will have 1 more opportunity to take the on-line quiz and pass it or you may attend an in-person SAP Workshop. What’s the Next Step Cont.? • Make an appointment with a Hartnell Counselor for an educational plan. • In addition, if you have excessive units, you must submit an excessive units worksheet to a counselor to be completed as well. An excess units form will be attached to your email if applicable. • Complete the student portion of the FA Appeals form prior to your appointment with a Hartnell Counselor. • After meeting with your Hartnell Counselor, submit your FA appeals Form, your educational plan, excessive units worksheet if applicable along with any supporting documentation to the Financial Aid Office no later than the May 6, 2010 deadline.   19. Recommendations for Success: Keep your Educational Plan Updated: We highly recommend that you meet with a Hartnell Counselor during the first and second year at Hartnell. Meet all Financial Aid Deadlines: Make sure that you closely review all correspondence that is sent to you from the Financial Aid Department and submit the required documentation by the deadlines established.
