  2. Purpose of the Hiring Screening Matrix • Intended to assist supervisors in evaluating applicants to ensure that hiring decisions are objective, fair, and unbiased and based on job-related criteria • Form is to be completed by the hiring supervisor or chair of designated search committee, if applicable • List the applicants on the matrix BEFORE determining their ranking, interviewing, or making hiring decisions • The total ranking score of each applicant on the form is used to determine eligibility for interview • Begin completing the form as applications are received and continue until the position has been closed and all applicants have been listed and ranked • You may begin interviewing applicants while still receiving applications • Before completing the Hiring Matrix, be sure to review the form’s instructions

  3. Hiring Matrix • Matrix will be emailed by HR to hiring supervisor after position has been posted • HR will customize the matrix based on the job description • The hiring supervisor may change or add to the requirements on the matrix based on the job description or special requirements

  4. Matrix Scores • Alphabetize the candidates by last name • Assign a 0 score if applicant does not meet requirement • Assign a 1 score if applicant meets requirement • Assign a 2 score if applicant exceeds requirement • Add the scores across for each applicant and enter a Total Score to determine applicant ranking

  5. Matrix Instructions for Clerical Positions • Includes a column for the actual typing speed • The actual typing speed is not added in the applicant’s total score • Includes a column for the matrix typing score • Assign a typing score based on typing speed: • 0-31 wpm = 0 score • 31-60 wpm = 1 score • 61 + = 2 score • Matrix typing score is added in the applicant’s total score

  6. Hiring Matrix • May be submitted to HR by email or may be printed and completed by hand • Must include all applicants that have submitted an application for your position • If you choose to leave the position open during interviews, all applications received during this time must be evaluated and added to the matrix

  7. Interviews • Select at least three applicants to interview who meet the minimum requirements • Written justification is needed if interviewing less than three applicants receiving the highest total scores • Matrix must be approved by HR Director before interviews are scheduled
