General aspects Nature of petty complaints • Non /wrong /delayed delivery of articles by the GDS • Non/wrong /delayed payment of money orders • Misconduct of BPM/GDSMD in the office • Late despatch of BO bags • Non attendance of the GDS MC for conveyance of BO bag. • Non visit of GDS MD to attached villages for delivery • Accepting illegal gratification to deliver/payment of articles/money orders • Improper maintenance of postman book and village visit book • Delay in opening of BOs • Non clearanceof letter boxes • Letter box without lock and damage of lock and loss of letter box
General aspects • Enquiry on complaints only on direction of the Sub Divisional Head • Submit report to Sub divisional Head • After recording in Weekly Diary • Whether the complaint is true? • What is the actual irregularity? • Non violation of any departmental Rules and procedures • From whom the statements were obtained. • The details of records seized • Details of enquiry
General aspects Assistance in Cent Percent Verification • Mail overseer should • Ensure supply of list of balances of all accounts standing in the BO • Obtain pass books from the depositors • Check the balances of the account and date of each deposit and withdrawal • Report matter to the Sub Divisional HeadIn case of discrepancies
General aspects • Verify the remarks of undelivered SB -46 notices issued • Return the same with the result of your verification • If you deliver any notices during verification obtain acknowledgement for the same • Check the contents of the BO bag with BO slip • Examine the cash bag & weight • Examine accountable articles received through the BO bag
Statistics • Compare the corresponding totals in BO A/c of previous year. • If there is a decrease, analyze the reason • Achievement of targets fixed for • Opening of new accounts • PLI/ RPLI • Philatelic deposit accounts
General aspects • In case of extraordinary circumstances causing disruption of services - • Theft • Fire accidents • interruption of mail service due to floods, earthquakes etc • On the directions of the Sub Divisional Head • Proceed to the spot immediately • Make enquires & arrangements as may be possible • Be ready to work as GDS, if need arises • Carry out duties of GDS along with your regular duties
