8. Publications Awards Subcommittee The Pendray Aerospace Literature Award is named in honor of Dr. G. Edward Pendray, a founder and past president of the American Rocket Society. The award is presented for an outstanding contribution or contributions to aeronautical and astronautical literature in the relatively recent past. The emphasis should be upon the high quality or major influence of the piece rather than, for example, the importance of the underlying technological contribution. The award is an incentive for aerospace professionals to write eloquently and persuasively about their field and should encompass editorials as well as papers or books. The 2011 Award was given to William F. Milliken For his seven decades of outstanding technical accomplishments and unparalleled leadership in the field of vehicle dynamics, and for his inspiring autobiography for future generations.

9. Publications Awards Subcommittee The Summerfield Book Award is named in honor of Dr. Martin Summerfield, founder and initial editor of the Progress in Astronautics and Aeronautics series of books published by the AIAA. The award is presented to the author(s) of the best book recently published by the AIAA. The 2011 Award was given to Bradford Parkinson, Stanford UniversityJames Spilker, Stanford TelecomPeninaAxelrad, University of Colorado, Boulder, and Per Enge, Stanford University, editors of Global Positioning System: Theory and Applications

14. Proposed Library Advisory Council • Many publishers have library advisory boards, some more formal than others • General purpose is to provide input about publications and electronic information services • Can serve as research source • Foster better understanding and customer relations

Proposed Library Advisory Council (cont) • Operation • Bimonthly teleconference/web-conference • Surveys and concept papers • Periodic in-person meetings at appropriate venues, • Special Library Association Conference, Charleston Conference , AIAA technical events. • LAC members shall be encouraged to provide unsolicited information, ideas, concepts • Honoraria—not proposed at this time • Timetable • Upon approval, recruitment would start ASAP • Proposed two-year term for all members • Assess in 2 years to determine value and success

18. Motion • That the Publications Committee establish a Library Advisory Council as proposed to advise the Publications Committee and staff for a period of two-years after it is impaneled; at the end of two years, its effectiveness will be assessed for continued operation.

ScholarOneImplementation for Books • During FY10, substantial alterations were made to the test site in order to customize it for the books program. • During FY11, conduct in-person training and webinars to familiarize EICs and Editorial Boards with the system. • Expect to launch pilot projects in system during the second half of FY11.

27. Catalog Strategy • Interactive Catalog (V-Mag) • Includes books, ebooks, journals, standards, membership, events, Foundation, public policy • More than 400 pages • Multiple specialty catalogs. Because there are no print costs, we were able to list books in multiple, appropriate subject areas. • Small print-run for our distributors • Will promote the catalog to non-AIAA audiences

28. 2011 Promotion Priorities • Social Media, storytelling, and personalization to provide a more personal, informal approach to promotion. • The AIAA Twitter Feed will be used to announce new releases and provide promotional discounts. • Exploring webinar services that could be used for author chats. • AIAA Web site redesign timeline for development is 6-8 months and begins on January 25.

29. Publications Ethical Standards Subcommittee • Reviewed charter of the PESSC and concluded that it needs updating • Discussed responsibilities and working relationship between the PESSC, the Ethical Conduct Panel, and the TAC Ethical Standards Subcommittee • Reviewed the PESSC Guidelines and Procedures and concluded that they need updating • Dolling, Walters, and Yang rotating off of the PESSC, and we are looking for new members • Near resolution of the AE investigation • Started a new case claiming plagiarism in a submitted manuscript • Discussion of indemnification of AIAA volunteers

31. Key Indicators: Institutional Subscribers • Institutional subscribers experienced a 3% increase in FY10. * Data based on September results.

Subscription Rates: Institutions • Since FY07, subscription rates have increased 5-6% each year. • FY11 Rates (FY11 rates increased an average of 5.5% per journal.): • AIAAJ: $1,720 JA: $945 JGCD: $960 JPP: $1,040 • JSR: $895 JTHT: $755 JACIC: $380 • IEEE average institutional rate increased 12% from 2009 to 2010 and 7% from 2010 to 2011.

33. Institutional Subscriber Mix by Revenue Source • Since FY08, the majority of Institutional subscriber revenue has been generated from customers that prefer some or all content delivered in an online format.

34. Key Indicators: Member Subscriptions • Member subscriptions declined 22% in FY10.

35. Member Subscribers • Some of the drop is attributed to the difficulty in renewing online that members experienced during the transition to NetForum (AIAA’s new Association Management System) in June 2009. • In response to this difficulty, AIAA worked with the AMS vendor to customize the functionality to allow members to renew their subscriptions via the “My Transactions” feature on www.aiaa.org. • Members will be able to verify subscription status and renew if necessary. • Members can renew or add subscriptions while renewing membership. • All of these features will streamline the renewal process and make it easier for members to renew.

36. Status of Customization • Publications staff has been testing the new feature for usability and accuracy since December. • The customization has an estimated launch date of February 1. • With reinstituted member renewal campaigns, members will be directed to this feature.

37. Recovery Efforts and Further Assessments • Efforts to recover lost subscribers will include: • Analysis to determine the cause of the drop in member subscribers, including: • How many member subscribers also dropped their AIAA membership • How many member subscribers are located at institutions that now have access to all the journals • Outreach to lapsed subscribers

38. Key Indicators: Geographic Breakdown • In FY10, domestic subscribers accounted for 63% of total subscriptions. • The percentage of non U.S. subscribers has gradually increased over the past five years. * Data includes Member and Institutional Subscribers

39. Revenue Trends by Source • Institutions generated 85% of all Journals revenue in FY10. • “Other” sales include online transactional sales of Journal articles and reprint sales.

40. Revenue Trends by Journal • Journal revenue remained flat in FY10.

41. Key Indicators: Manuscripts Accepted • The overall number of manuscripts accepted declined 3% in FY10. • Accept rates by journal for 2009-2010: JSR: 45%; AIAAJ, 50%; JTHT, 63%; JGCD, 40%; JPP, 41%; JA, 72%.

43. Key Indicators: Pages Published • In FY10, the total pages published for Journals decreased 5%.

44. Direct Expenses • Direct expenses include costs for paper, printing, outside production, postage, honoraria, and color printing offset. • The “software” line includes all ScholarOne related costs.

45. Future Development • Beginning in FY12, we will develop an additional development budget to cover customization that are not on S1M’s current development path and for new features and needs that AIAA feels merit a higher priority than S1M sets. • At this point it is premature to forecast the size of this development budget. First preference is to maintain a high-level of engagement to align for AIAA’s priorities with the S1M core development path. • Amanda and Michael are developing additional key indicators to better forecast submission rates which can affect the annual subscription fees.

46. Direct Expense per Page • Direct Costs per Page decreased from FY06 to FY08 due to expense reductions realized through new production vendor. • FY09 and FY10 costs increased due to Honoraria and Software increases. • The increased Honoraria expenditure is the result of the 22% increase approved by the Publications committee in 2009, to take effect during FY10 and FY11.

47. Direct Operating Margin • Direct Operating Margin = Revenue less Direct Expenses • Although direct margin declined slightly by 2%, Journals continues to generate a strong direct margin for the Institute.

48. Indirect Expenses Breakdown • Indirect expenses include salaries, benefits, general and administrative costs and shared services allocations. • The comparison of indirect expenses is not consistent year to year due to modifications in financial reporting practices to allocate all indirect costs to all projects. • Publications Process is an expense account that falls under VP Publications and is then allocated to Books and Journals.

49. Putting It All Together…Net Margin • Journals net margin improved slightly in FY10, due primarily to a decrease in allocation expenses.

50. Looking Forward • Continue to incentivize institutional customers to subscribe to the “complete” collection without requiring a bundled purchase. • Explore flexible subscription options for non-traditional or developing markets • Concerted focus on international library consortia • Continue emphasize archives • Monitor the print-online tipping point and timing • Appropriate expense discipline • Proactively plan for public/open access models for federally funded research content
