  2. Go to www.ownership-data.com Now enter the Username and the Password you have been supplied with by Winning Edge Solutions

  3. Go to www.ownership-data.com You can access the Winning Edge Webpage directly from here also if you need to:

  4. Now you should see the main Search Screen:

  5. This Section shows your Office name

  6. And here you can see the Municipality(s) to which you have subscribed.

  7. Notice there are NO Suburbs showing at this point in time (Yet).

  8. To begin ANY search, you MUST select the Municipality you are about to search in. You do this by simply clicking on it.

  9. Once selected you will see the list of applicable suburbs appear in the Suburb box.

  10. Looking for the owners in a street, simply type in the street name in the Street name Box. (You can, but DON’T NEED to select a suburb)

  11. We highly recommend you use the Search Option filters, particularly when preparing to mail merge the files!

  12. So what do the Vendor Classifications actually mean? RESIDENT OWNERS (RES): refers to Vendors that live in the property. NON-RESIDENT OWNERS (NON): refers to Vendors that DO NOT live in the property (usually landlords, unless the property is vacant land). OCCUPANTS(OCP): refers to Vendor information that is solely derived from the Current Phone Directory. As such this could be the tenant information. UNKNOWN RESIDENCY (???): refers to Vendor information that we are not as confident in as we would like to be. Usually attributed to Pty Ltd’s, Trust’s & Super’s. We recommend not using this category unless you have no other option.

When Mail Merging with Ownership Data, we recommend you use one, or both, of the top 2 categories – Resident Owners and Non-Resident Owners – together with the most recent phone numbers in Ownership data (indicated by the star). • The Current Phone numbers indicated by the star are a “Unique Identifier” which will assist in minimizing mail returns. • Mobile numbers tend to be valid regardless of which phone book they are derived from, and as such also a great reference.

  14. If you are phone prospecting, it will pay to filter by “All” Phone Numbers in the system. This will include any phone numbers dating back to 2000. (Newer phone numbers of course replace older numbers). Particularly in the case of mobile numbers, this search will give you additional contact numbers compared to a current phone number search. It is also recommended that when using the system for just phone prospecting, the filter removing the numbers listed on the Do-Not-Call register is ticked. This to avoid possible issues.

After clicking the “Search” button, you will see the “Results Summary” box. “Back to Search” takes you back to the main Search Screen. “Direct Export Records/Mail Merge Now” is particularly useful if you have more than 300 records in the result, and wish to mail merge. “Display Search Results in Detail” is the most commonly used option here taking you to the results details page. We will be using the “Display Search Results in Detail” option during the remainder of this Quick Guide.

  16. This is the main screen you will be looking at when both mail merging and phone prospecting. • A quick look at the key areas of information on display follows.

  17. The street(s) you have searched, are shown in this section. • They are in numerical order, unless you filter them differently via the “DISPLAY” option at the top of the details section.

  18. The Owners details, including their home address, are shown here • It is also made clear which of the owners are likely landlords by the status column. “NON” indicating them.

  19. The Owners phone numbers are shown, separated by Home and mobile numbers. Please Note: The RED numbers are on the Do-Not-Call Register and should not be called! Substantial fines apply with respect to this area of legislation.

  20. It is also made clear which of these numbers are current by the star next to them. Older landline numbers could indicate the ownership information is changing, or the owners may have cancelled their landline and swapped to a mobile only setup.

  21. When wanting to Mail merge to the properties found, you can click on the “Select all for Mail Merge” option, or select each property you want individually. Then simply click on the “Mail Merge” button.

  22. From here you will see the “Export Result box”. To continue with preparing to mail merge these records, click on the top button. Simply save the file (It’s a CSV file, keep it in this format!) in a location of your choosing. From here you can then open the relevant Mail merge letter you wish to use in Microsoft Word, and print them.

  23. If you are phone prospecting, we recommend you utilize the “Edit” feature built into the system. Click on the “Edit” button. Any edits you make can only be seen by you office!

  24. The system is directly linked to your PC’s Outlook account for easy use! Send emails, add the record to your Address Book and set reminders in your Calendar via the orange links

  25. You have full control over ALL the details of the record, including Salutation, names and addresses. Add email addresses, mobile numbers, and any comments / discussions in these sections.

  26. The Salutation for this record has now been included. As has email and mobile number. Dates of contact. The property has been marked as “Under Management. Comments and the user number have also been updated here.

  27. One of the KEY OPTIONS we highly recommend you use is to allocate a “SUB USER” number to identify every edit you make to the database. This will enable you to find the properties you have been in touch with in the past, and avoid possible conflicts within your own office for listings.
