Managing Dental clinic THE TOYATO WAY Part-2 Introduction: in my last article I have discussed why work place organization is needed at dental clinic & how FIVE “S” is useful & brief idea about what is five “S”. (You can get last article at https://drive.google.com/open?id=1o4cX0XmfSkOF41Qz5ELxJrC-_bJFgqrn ) Today will discuss how we can apply principal s of “FIVE”S” at dental clinic. Sort: sort things you need and don't need & remove unwanted things. Look at the, *Computer * Laptop * reception table * magazine racks * operatory cabinets * consultation table * lab drawers * Storage areas * File cabinet, etc. By removing unwanted things you create space for needed things & than can organize it. Set in order: once you have completed step 1 organize things in to, items you need daily, weekly, rarely. You can follow PEEP principal (Place for Everything Everything in Place) Items needed daily should be organized at the arms length Items needed weekly can be organized into storage areas, & which is needed rarely can be kept at loaf Now organize things needed daily into logical sequence so that it's easy to find & less time to pick up below few pictures will help you understand the concept.
One can apply this principal at the places like • • Procedure wise set list (like RCT, bridge, implants ) Make a full kit so that you can perform treatment seamlessly and at the time of treatment one doesn’t have to gather or find instrument. Organize operatory drawers, laboratory drawers, consultation n reception table , stationery items , One can organize & color code case papers into old, new, important; follow ups, pending treatment with different color coding. You can also color code instrument procedure wise like RCT instrument s are green, perio instrument are blue etc. Even color code set ups like check up trays, RCT ,bridge preparation tray n implant set up with different colors can be one Organize folder in your laptop so it's easy to find things you need. • • • • • Shine: now keep the work area very neat & clean, for that you can divide area of clinic and give responsibility to different people like receptionist is responsible for reception, patient sitting area , auxiliary assisting is responsible for operatory, lab , wash rooms , doctors is responsible for consultation area so you have to take lead and motivate staff. It's said in industry that any maintenance issues is traced back to cleanliness issues ,think over it is it apply to dental clinic ? • • • If the water is very clean water channels in dental unit will never block If drainage lines are kept clean at regular interval it will never clog If the water is clean your hand piece water channels will never block, if implant hand piece is kept clean & free of blood immediately it will improve its life. If the computers are dust free it will have very less maintenance issues. •
Standardized: now standardized whatever you have organized • Checklist like thing to be done after opening of clinic , closing of the clinic, start of the week, month , what to check list before sending job to the dental lab , Marking areas i.e bins for biomedical waste, • Sustain: human nature is such if you don't monitor, things will switch to comfortable & old habits so to make above things a habits have system for internal, external surprised, planned audits & checks and balances, make system so that it’s easy to follow the standards you created. conclusion: As I said in previous article if you establish these things slowly it will change culture and when new employee comes into a organized culture they will automatically mold & get trained into a system which will reduce your training time & efforts for employees.
