All paid staff members are covered by workmen’s compensation insurance. Comply DNC DNA B. Property and Fire Insurance Coverage 1. All properties owned by the ministry are covered by a property insurance policy Comply DNC DNA C. Motor Vehicle Insurance 1. The ministry has motor vehicle insurance that provides coverage for liability exposures in regard to bodily injury and property damage. This coverage includes hired, leased, and borrowed vehicles, as well as owned vehicles. Comply DNC DNA
D. Non-Owned Auto Liability Not-For-Profit organizations create potentially troublesome liability exposures when employees and volunteers operate privately owned vehicles as part of their agency responsibilities. In the event of an accident, the owner of the vehicle is normally responsible if the vehicle operator is at fault. The owner’s auto policy should respond and protect the owner, operator and mission ministry. However, the Not-For-Profit organization may be exposed if: • The accident results in serious injury or death; • The vehicle’s owner has insurance but with minimal limits of liability; or, • The vehicle owner has no auto insurance.
AGRM §6 Certified Ministry Standards • 6.9 AGRM • Certification Consultant’s Manual Not-For-Profit organizations can take steps to minimize the non-owned auto risk by: 1. Including auto liability coverage as part of the ministry’s insurance program for vehicles not owned by the ministry Comply DNC DNA 2. Screening employees and volunteers who are likely to operate non-owned autos on agency business to ensure they are safe, cautious drivers. Comply DNC DNA 3. Evaluating the operator’s accident history and driving record to ensure there are a minimal number of non-serious auto accidents, or moving violations. Comply DNC DNA 4. Requiring operators/owners of non-owned autos to maintain primary auto insurance at minimum liability limits of $100,000/$300,000 Bodily Injury, $100,000 Property Damage; or $300,000 Combined Single Limit; verifying via a Certificate of Insurance, or copy of policy declarations page. 5. Maintaining copies of an operator’s driver’s license, along with the above information, in a driver file. Comply DNC DNA 6. Clearly state the basis (when/where) on which employees and volunteers may operate their autos on agency business. Comply DNC DNA E. Liability Insurance 1. The ministry carries a comprehensive liability insurance policy that covers bodily injury, including food poisoning, professional liability, property damage, board member liability. Actual terms and extent of coverage are at the discretion and determination of the individual ministry. Comply DNC DNA F. Special Events 1. The facility is adequate for the size of crowd expected. Comply DNC DNA 2. Facilities meet American Disabilities Act (ADA) requirements for access (e.g. ramps, elevators and toilet facilities). Comply DNC DNA

Security personnel are trained to handle crowd control and other emergency situations. Comply DNC DNA 5. Local Police/Fire Department is notified of the event. Comply DNC DNA 6. Trained medical personnel are on site. Comply DNC DNA 7. Event staffing schedules have been prepared. Comply DNC DNA 8. Individual responsibilities have been reviewed and assigned. Comply DNC DNA 9. Staff is trained in handling emergency procedures. Comply DNC DNA 10. All records are maintained for a period of time as specified by IRS guidelines. Comply DNC DNA
11. All contracts are reviewed and copies kept by legal counsel. Comply DNC DNA 12. Certificates of Insurance are obtained on the following subcontractors: • Security Personnel • Food Service Vendors • Entertainment • Co-Sponsors • Facilities setup personnel (stages, booths, electrical, etc.) • Valet Parking Comply DNC DNA 13. Minimum limits of $1,000,000 liability insurance provided by an “A” rate carrier are required for all subcontractors listed above. Comply DNC DNA 14. The ministry’s insurance agent has been notified of the event and coverage verified. Comply DNC DNA 15. Event location has proper food preparation/storage facilities. Comply DNC DNA 16. All food distribution licenses have been obtained. Comply DNC DNA
