2013 Timetabling Timelines Phase 1 Timetable Preparation 01/06/12 – 15/07/12 Central Office Tasks: • Snapshot of 2012 data – 12 June • Validation of Suitabilities for centrally managed teaching space • Purge all ad hoc bookings • Reset physical teaching space • Add new locations and identify locations no longer required • Preparation of 2013 database for WDC Property Services, Space Planning and Management
2013 Timetabling Timelines Phase 1 Timetable Preparation 01/06/12 – 15/07/12 School Timetabler Tasks: • Gather timetable information • Commence preparation of timetables with key school staff • Identify and add new modules (courses) for inclusion • Confirm deleted courses Property Services, Space Planning and Management
2013 Timetabling Timelines Phase 2 – WDC Data Collection 16/07/12 – 26/08/12 School Timetabler Tasks: • Verification of all timetable requirements within WDC, includes semester 1 and 2 • Confirm / delete classes for 2013 • Addition of new classes for 2013 • Update existing classes with new requirements for 2013 where necessary Property Services, Space Planning and Management
2013 Timetabling Timelines Phase 3 – Location Scheduling 27/08/12 – 23/09/12 Central Office Tasks: • Activities confirmed in WDC during Phase 2 are transferred to Syllabus Plus • Timetable data analysed, and reported back to schools for correction: • Over constrained activities where no rooms match the requirements • Oversubscribed activities, where too many classes are requesting the same venue at the same time • Data gaps, no campus selected, no zone selected • Classes scheduled and location priority groups: • Specialist spaces • Computer labs • Lecture theatres • Flat floor teaching spaces • Scheduling reports provided to Schools after each group scheduled Property Services, Space Planning and Management
2013 Timetabling Timelines Phase 4 – Draft Timetable Review 24/09/12 – 18/10/12 School Timetabler Tasks: • Review allocations and scheduling from central timetable office • Address timetable issues • Draft review can commence from when the first report is received during Phase 3 • Setting Section ID within Syllabus Plus for STS purposes Property Services, Space Planning and Management
2013 Timetabling Timelines Phase 5 –Timetable Published 19/10/12 • Higher Ed – Timetable published on STS • TAFE – Timetable published on School website Property Services, Space Planning and Management
