OCS-Visit - The Detail • What is it? • A software tool to pull utilization data from the electronic claim files (EDI) into the OCS-OASIS database • Functions? • Converts data into number of visits and hours of service by discipline • Inserts visits/hours information into the appropriate OASIS assessment • Attempts to match the utilization data in the billing file with the corresponding OASIS assessment for each patient • ‘Key fields’: Patient’s Last Name, Birth Date, Gender and SOC date • Provides reports detailing results of the import process

OCS-Visit - Setting User Preferences (cont.) • Auto-Accept Confirmed Matches • Patients that match the same • Last name, birth date, SOC date and gender will be automatically imported into the database • All patients with potential matches will be rejected • Auto-Confirm Potential Matches • OCS-VISIT will automatically select the first potential matching record that exists in the OCS-OASIS database and consider it a confirmed match for importing

OCS-Visit -Setting User Preferences (cont.) • Auto-Print Report Selections • When you select Print Potential Match List Report the list will be automatically printed to your default printer for each EDI file imported, if potential matches existed in the file • If Print Summary Report is selected, a Summary Report will be automatically printed to your default printer for every file imported • When Print Detailed Report is selected, you will have the option to automatically print to your default printer a Detailed Report on all records imported or rejected records only

  21. OCS-Visit - Importing Utilization Data (cont.) • The import process is now complete! In order to help keep your electronic claims files organized, OCS-VISIT has created two new folders in the directory where the claim files were originally located — Completed and Session Summary.

  22. OCS-Visit - Importing Utilization Data (cont.) • When the claim file is moved into the Completed directory or failed to import, an Individual Import File Summary Report will be created reflecting the status of the import.

  23. OCS-Visit - Importing Utilization Data (cont.) • Summary Report • The Summary Report lists: • Total number of records in the electronic claims file • Number of accepted (imported) records • Number of rejected (not imported) records • Number of RAPs (not imported)

  24. OCS-Visit - Importing Utilization Data (cont.) • In addition to the Individual Import File Summary Report, an Import Session Summary Report will be created in the Session Summary directory. This report is an overview of how many files were imported, processed, and/or had errors.

OCS-Visit - Importing Utilization Data (cont.) • Detailed Report • The Detailed Report lists all of the information in the Summary Report PLUS: • Information on each accepted record • Patient information: First and Last Name, ID number, Birth date, SOC date • Importing information: reason for the filing of the claim, the patient’s status, the type of assessment the data was imported into, the M0090 date for that assessment, the total number of visits imported and the total time imported • Information on each rejected record • Patient information: First and Last Name, ID number, birth date, SOC date • Importing information: reason for the filing of the claim, the patient’s status, and the reason that the record was rejected • A listing of the RAPs in the claim file
