Appropriate Dress for Meetings • If you want to be treated as a professional, dress like one! (Doctors, Lawyers, Pilots, Bankers) • Highly educated, Tests to validate knowledge, continual improvement and training mandated. • You are evaluated 24/7/365 formally or informally. • Message you send home to parents through their children…Did you know what Mr. Smith wore today… • ***Educators have put themselves in some of the negative light we are viewed in by the public***
Appropriate Dress • Know your Audience BOE Meeting = Suit & Tie if Presenting Faculty Meeting = Shirt- Tie- Dress Pant Parent Meeting = How do you want to be viewed? Female = equal appropriate dress (modesty in attire)
Language • Professional versus Personal (conversational) • You are well educated, demonstrate it and be well spoken. • If you are going to use a humorous anecdote to make a point in a meeting, make sure it is appropriate for the audience. Do not offend anyone!
Know Established Norms • Never be on Time- Be early- My time is as important as yours! • Do not punish people for showing up on time. • Don’t Steal Their Time! • No cell phone use?—Ask…you may need it. • No computer use? ---Ask…you may need it. • No E-mailing during meetings?—Ask…you may need it. • No week-end talk & life discussions.
Behaviors • Eye Contact. • Body language (can tell more through this then through spoken word). • Demonstrate appropriate level of respect. • Do not talk over people. • No BMW meetings. • Your behaviors tell people if you feel they are important (dismissive, prepared).
Goal • Just like a good lesson plan, every meeting should have a well defined objective, and the objective should be known by the audience.
Meeting Set Up Formal v. InformalBe intentional in your set up (Power Position)
Agenda • If you are in charge of the meeting develop an agenda…send it out in advance. • If you are in charge…make name plates. • If you are in charge…have someone take minutes. • If you are asked to attend a meeting…ask for the agenda in advance. • If you are asked to attend do your research. • 24/7/365
Prepare for Meetings • Review the agenda. • Research any background knowledge you may need to know. • Visit with someone with more knowledge than you about the issues (if possible) before attending (do your homework).
During a meeting • If you are in a formal meeting -Walk around and introduce yourself. -Hand out any papers you have to give to the group individually. -You have two ears & one mouth. Listen twice as much as you talk. -Be an active listener. -Try and figure out the roles of each person in the meeting.
During a meeting • Who is the formal leader, informal leader, expert, antagonist? • Who is the distracter? • Who is the person who can get things accomplished? • Important to know before you choose a side on a topic.
During a meeting • Early in your career you will have very little exposure to the people who may determine your career path. • If you have the opportunity to “shine” in a meeting be prepared! • Do not be afraid to ask for clarification. • Stay on the topic. • Do not open up large meetings for questions…have them come see after the meeting.
Parent meeting • Never meet with out an agenda, a time limit and a witness. • What do you want to meet about? • Stay on that agenda…if they stray tell them they will have to set up another meeting. • Time limit • 15 minutes • 30 minutes • Leave when time is up.
Meeting Mistakes • No Agenda—no goal • Not Prepared! • Too Long—never a bad short meeting • Are your comments meaningful, clear & relevant. • Not being respectful. • Wasting time waiting for those who are late. • No control…allowing arguing… • No end time…rambling • Not staying on task • Not achieving the goal ….and having to meet again on the same topic (some issues are processes that take a number of meetings)
