Create Screenshots To insert a screenshot: • Open a blank document. • Open another document. • Display the desired information in the document. • Make the blank document active. • Click the Insert tab. • Click the Screenshot button in the Illustrations group. • Click the desired screen thumbnail at the drop-down list.   4. Create Screenshots…continued • The currently active document does not display as a thumbnail at the drop-down list. Only any other file or program you have open displays. • If you do not have another file or program open, the Windows desktop displays. • When you click the desired thumbnail, the screenshot is inserted as an image in the open document, the image is selected, and the Picture Tools Format tab is active. • Use buttons in this tab to customize the screenshot image.

Create Screenshots…continued To insert a screen clipping: • Open a blank document. • Open another document. • Display the desired information in the document. • Make the blank document active. • Click the Insert tab. • Click the Screenshot button in the Illustrations group. • Click the Screen Clipping option at the drop-down list. • Drag to specify the area in the document to capture. Create Screenshots…continued • In Chapter 9, you learned how to create a screen capture with the Print Screen button on your keyboard. • The advantage of using the Print Screen button is that you can capture an open dialog box, which you cannot do with the Screenshot button. • The advantage of using the Screenshot button in the Insert tab, rather than the Print Screen button, is that you can use the Screen Clipping option to identify a specific area of the screen that you want to capture.

  7. Draw Shapes To draw a shape: • Click the Insert tab. • Click the Shapes button in the Illustrations group. • Click the desired shape in the drop-down list. • Drag in the document to create the shape. Shapes button

Draw Shapes…continued • If you choose a shape in the Lines section of the Shapes button drop-down list, the shape you draw is considered a line drawing. • If you want to draw a straight horizontal or vertical line, hold down the Shift key while dragging with the mouse. • If you choose an option in one of the other sections of the drop-down list, the shape you draw is considered an enclosed shape. • When you draw an enclosed shape, you can maintain the shape’s proportions by holding down the Shift key while dragging to create the shape.

  10. Draw Shapes…continued To copy a shape: • Select the desired shape. • Click the Copy button in the Clipboard group. • Position the insertion point at the desired location. • Click the Paste button in the Clipboard group. Copy button

Draw Shapes…continued • If you are working with multiple shapes, you can select the shapes and then apply formatting to the shapes. • To select multiple shapes, hold down the Shift key, click each shape you want to select, and then release the Shift key. • You can also hold down the Ctrl key and then click the desired shapes.

Draw Shapes…continued • When you draw a shape in a document, you can type text directly in the shape. • Select the text and then use options in the WordArt Styles group in the Drawing Tools Format tab to format text. • You can also apply formatting to text in a shape with options available at other tabs such as the Home tab.

  14. Draw Shapes…continued To edit points in a shape: • Select the shape. • Click the Edit Shape button in the Insert Shapes group. • Click Edit Points at the drop-down list. • Using the mouse, position the mouse pointer on the edit point, drag, and then release the mouse button. edit point

Insert and Format Text Boxes • With the Text Box button in the Text group in the Insert tab, you can insert a predesigned text box or draw a text box and then apply formatting with options at the Drawing Tools Format tab. • Click the Text Box button and a drop-down list displays with a variety of predesigned text boxes. • Click one of the text boxes to insert it in the document or click the Draw Text Box button and then drag in the document to create a text box.

Insert and Format Text Boxes…continued • By inserting a predesigned text box in a document, you can insert a pull quote in a document, which is a quote that is “pulled” from an article, enlarged, and displayed in a strategic or attractive location on the page. • Use a pull quote in an article to attract readers’ attention. • Some advantages of using pull quotes are that they reinforce important concepts, summarize the message, and break up blocks of text to make them easier to read.

Insert and Format Text Boxes…continued • In addition to typing text directly in a shape, you can draw a text box in a shape, type text in the text box, and then customize the text box as well as the text with options at the Drawing Tools Format tab. • When you draw a text box in a shape, the text box is actually layered on top of the shape. • If you want to move the shape and the text box, you will need to select both objects.

  21. Link and Unlink Text Boxes To link text boxes: • Select the first text box. • Click the Drawing Tools Format tab. • Click the Create Link button in the Text group. • Click the empty text box. Create Link button

  22. Insert WordArt • With the WordArt feature, you can distort or modify text to conform to a variety of shapes. • This is useful for creating company logos, letterhead, flyer titles, or headings.

Apply Character Formatting…continued • Kerning refers to the adjustment of spacing between certain character combinations by positioning two characters closer together than normal and uses the shape and slope of characters to improve their appearance. • Notice how the letters Te and Va are closer together in the kerned text in the image below compared to the text that is not kerned.

Apply Character Formatting…continued • The OpenType font file format is a format developed by Adobe and Microsoft to work on both Macintosh and Windows computers. • The benefits of the OpenType format are the cross-platform compatibility, meaning you can move font files between Macintosh and Windows computers; the ability to support expanded character sets and layout figures; and allowing Web page designers to create high-quality on-screen fonts for online documents.

Apply Character Formatting…continued • With the Standard Only option selected, the standard set of ligatures that most typographers and font designers determine are appropriate for the font are applied to text. • Common ligatures include letter combinations with the letter “f,” as shown in the image below. Notice how the fi and fl letter combinations are combined when ligatures are applied.

Apply Character Formatting…continued • The Number spacing option in the OpenType Features section is set at Default, which means that spacing between numbers is determined by the font designer. • You can choose Proportional, which spaces numbers with varying widths. Three Microsoft fonts—Candara, Constantial, and Corbel—use proportional number spacing by default. • Use the Tabular option if you want to specify that each number is the same width.

Apply Character Formatting…continued • Like the Number spacing option, the Number forms option is set at Default, which means the font designer determines the number form. • Change this to Lining if you want all numbers to have the same height and not extend below the baseline of the text. • Generally, lining numbers are easier to read in tables and forms. • The Cambria, Calibri, and Consolas fonts use lining number forms by default.

  34. Apply Character Formatting…continued • A font designer may include a number of stylistic sets for a specific font. • A different stylistic set may apply additional formatting to the characters in a font. For example, the sentences below are set in 16-point Gabriola.

Apply Character Formatting…continued • Insert a check mark in the Use Contextual Alternates option and letter combinations are fine-tuned based on the surrounding characters. • The example in the image below shows text set in 12-point Segoe Script. The first line of text is the default and the second line of text has the contextual alternate option selected. Notice the slight differences in letters such as t, n, s, and h.
