  2. Working with the Motor Pool Center Screen • Motor Pool Center –this is the most comprehensive of the motor pool screens. Use it to create equipment reservations and to display and record information about reservations, dispatches, and returns of motor pool equipment units: • Operator Info –use this menu frame to display and record information about operators assigned to motor pool reservations. • Vehicle Requirements –this menu frame displays and records information about the type of vehicle the reservation requires. • Status/Other Info –displays and records accounting information about reservations. • Comments –displays and records comments about reservations. • Dispatch –displays and defines information about the dispatch of equipment units for CONFIRMED reservations. • Return –records the return of equipment units to the motor pool together with the applied equipment usage and user charges. • Output Control –displays printing information related to reservation tickets. Setup Elements for Motor Pool Scenarios FA Portal  Equipment Activity  Motor Pool (Motor Pool Center) Use Preferences link to adjust the screen layout to your desired choices. • Link to the Motor Pool Center screen in order toview the confirmed reservation at your location. • Select your pre-defined items from Filter/Sort drop down list boxes in order to quickly access a batch of reservations to review. • Press the Get Data button to display your data in the Grid.Scroll to end of list to confirm filter/sort controls. • Select WO of interest to view details. 2 2 3 4 3 1 Motor Pool Scenarios

Pre-Defined Filter Controls –By Example FA Portal  Equipment Activity  Motor Pool (Motor Pool Center) 6 • Select filter keys of your choice from the available drop down boxes and open lists. • Enter key values in text boxes as selected, with or without wild cards:% = anything,_ = any single character • Enter filter name in the Named Filters text box. • Press the Save As button to save the named filter: • Click on the ‘Is Default Filter’ check box to save as the default filter. • Press Get Data button to fill the grid. Pre-Defined Sort Controls –By Example FA Portal  Shop Activity (WORK Order Center) • Click on sort key check boxes to select sort keys of choice. • Select sort order from Order drop down list boxes as ASC –ascending –or DSC –descending. • Press a re-direction button to move the selected sort key up or down in the sort key sequence. • Enter sort name in the Named Sorts text box. • Press the ‘Save As’ button to save the named sort. • Click on the ‘IsDefault Sort’ check box to save as the default sort. • Press Get Data button to fill the grid with new sort. Assign Operator to a Motor Pool Reservation FA Portal  Equipment Activity  Motor Pool (Motor Pool Center) • Select the row in the Grid that you want.FleetAnywhere automatically displays the Reservation ID for the row selected in the screen’s Top frame. • Press the Update Record button to unlock the row selected for data entry. • Enter or pick an Operator ID.FleetAnywhere automatically enters the Operator name. • Press the Process button.When you see the Successful Insert message at the right of the top frame, you are done! • Print the Reservation from the Output Control frame of Menu List and, again, from the Run Screen Report button on the toolbar. 1 2 5 1 4 5 3 Motor Pool Scenarios

Assign an Operator –Continued FA Portal  Equipment Activity  Motor Pool (Motor Pool Center) • Select the row in the Grid that you want.FleetAnywhere automatically displays the Reservation ID for the row selected in the screen’s Top frame. • Press the Update Record button to unlock the row selected for data entry. • Enter or pick an Operator ID.FleetAnywhere automatically enters the Operator name. • Press the Process button.When you see the Successful Insert message at the right of the top frame, you are done! • Print the Reservation from the Output Control frame of Menu List and, again, from the Run Screen Report button on the toolbar. 1 2 5 1 4 3 5 Motor Pool Scenarios

Dispatching a Motor Pool Reservation FA Portal  Equipment Activity  Motor Pool (Motor Pool Center) • Press the Filter button.Use the Filter to limit the display to the reservation you want to dispatch. • Press the the Update Record action button to unlock the screen for data entry. • Move to the Dispatch frame from the Motor Pool Center menu list. • Mark the Dispatch now checkbox to dispatch now.FleetAnywhere automatically enters current date and time, which may be changed. • Enter the assigned equipment’s Equipment ID.FleetAnywhere automatically enters the equipment description, and current meter reading. • Press the Process button to save your changes or new entries.When you see the Successful Insert message at right of frame, you are done! • Print the reservation. Returning a Motor Pool Reservation Auto-completion FA Portal  Equipment Activity  Motor Pool (Motor Pool Center) • Press the Filter button.Use the Filter to limit the display to the reservation you want to return. • Press the the Update Record action button to unlock the screen for data entry. • Move to the Return frame from the Motor Pool Center menu list. • Mark the Return now checkbox to return now.FleetAnywhere automatically enters current date and time, which may be changed. • Enter the ending mileage in the Meter 1 reading field.FleetAnywhere automatically enters the Return location ID and description from information stored in the database. • Press the Process button to save your changes or new entries.When you see the Successful Insert message at right of frame, you are done!. 1 3 4 5 2 6 Pick lists Motor Pool Scenarios

Units Available Screen FA Portal  Equipment Activity  Motor Pool (Units Available) • Press the filter button to limit the filter to the Pool vehicle type you want to display. • Select a Pool vehicle type and select a Dispatch location ID as filter choices. • Press the filter Get Data button.After you click on Get Data, FleetAnywhere will list in the Grid vehicles of the type and at the location you have filtered on. • When you see the Successful Insert message displayed in the message box at right, you are done! 3 2 1 4 Motor Pool Scenarios
