This presentation will explain some of the basic concepts used in the WDM system. • There are primarily two group of people in the system • Staff / Caregivers – Those delivering the service • Clients – Those receiving the service • Each Staff / Caregiver needs to have appropriate qualifications and certificates, they need to undertake training at regular intervals and attend supervision, one-to-one and Caregiver meetings. • Each client needs contacting at regular intervals either by phone call or visit, they require regular QA service reviews, spot checks and quality checks. • The control of what is to be done by whom is though requirement packs, which are controlled by management and determine what, who and when.
People People are at the heart of the system. What they need to do or what is done for them. The system will ensure their training and documents are kept fully up to date. Staff / Clients
Activities that can be tracked for GAREGivers are training courses and events, qualifications, certificates, activities, meetings, one-to-ones, documents. Anything that the CQC may request. Qualifications / Certificates / Actions People Staff / Clients Training, events, activities Activities that can be tracked for clients including all contact (visits, phone calls, spot checks, QAs of all descriptions and even questionnaires). Anything that the CQC may request.
Requirement Pack Qualifications / Certificates / Actions People Staff / Clients Training, events, activities Requirement packs control the link between Caregivers / clients and the appropriate training, qualifications, certificates or tasks.

The system uses three types of requirement packs described below The Standard pack Can be considered as a collection of qualifications, certificates or actions that need to be validated. An example of this is the Drivers pack which may contain details of the drivers license, the MOT certificate and the insurance certificate. Key Features • The tasks (qualifications, certificates, tasks, etc.) that make up the pack can be performed in any order. There is no required order. • There is no time delay. A task is required as soon as it is assigned to a person. Visual representation Drivers Pack An excerpt of a persons record may look like this MOT Car Insurance Drivers license
The Compliance pack Is composed of a collection of qualifications, certificates, meetings or activities that must be performed a number of times within a calendar year for the person and the process to remain 100% compliant. Examples of this are , say, Caregivers should attend 4 Caregiver meetings per year or clients should receive 4 QA service reviews per year. Key Features • The tasks (qualifications, certificates, tasks, etc.) that make up the pack can be performed in any order. • 100% compliance is attained by having the required number of all the tasks active in a calendar year. Visual representation A Caregiver requires 4 caregiver meetings, 2 One-to-ones, a spot check and an annual appraisal in a calendar year. This person has completed 5 of the 8 tasks and would be 62% compliant. The have 2 planned tasks which would make them 87% planned compliant. Planned dates are presented in yellow
The Planning pack Is a collection of actions, training or QA calls or visits that need performing in an exact sequence. It utilises the start date of the client or Caregiver and generates planned activities on specific dates after the person and works on each activity being planned a fixed number of days after the start date. Key Features • The tasks (qualifications, certificates, tasks, etc.) that make up the pack must be performed in order. • The same task can be present in a plan many times • If tasks are missed they can be cancelled, but will be recorded against the person. • Planned tasks can be changed and rescheduled for another date and the rest of the planned dates will change to accommodate the reschedule. Visual representation A client requires a Call after 2 days, a Visit after 7 days, another Call after 14 days and a QA Service review after 28 days If they became a client on the 1st January (01/01/20214) their plan may look like this. If a planned date is rescheduled the rest of the plan will ‘ripple’ to reflect the change.
