Project management in R&D Integration and scope management Kristian Widén, PhD
Project Integration Management • Includes the processes and activities needed to identify, define, combine, unify and coordinate the variuos processes and activities in the project needed to fulfill the scope of the project.
Three delimations • Scope • Time • Cost
Project Integration Management • Project charter • Preliminary scope statement • Project management plan • Direct and manage project execution • Monitor and control project work • Integrated change control • Close project
Project Charter • A document that formally authorises a project • Includes: • Requirements • Business needs • Project purpose • Project manager with defined authority • Milstone scheduel • Stakholders • Context • Summary budget
Project Management Plan • Map the whole project • Includes all other plans • Coordinate all other plans • Directs the project team • Baseline for monitoring and controle
Project management plan, common parts • Introduction • Scope • Time • Cost • Quality, environmental management • Human resources • Communication • Risk • Procurement
Project Execution • Perform activities to reach project objectives • Implement the planned methods • Create, control, verify and validate deliverables • Manage risks • Adapt approved changes • Manage communication • .....
Monitor and control • Monitor and control processe asociated with • Initiating, planning, executing and closing • Performance versus plan • Assess performance • Colect and destribute information
Integrated change control • Two types of changes • Project owner introduced • Project result • Needs to be analysed • If the change affects either of the three delimitations of the project – Owners choice
Close Project • Adminsitrative closure • Details everything that anyone needs to do to close the project • Contract closure • Includes alla activities and interaction to close contracts
Who? • Define the scope of the project? • Can change the boundaries of the project?
Scope Management • Scope planning • Scope definition • Create WBS • Scope verification • Scope control
Scope • Product scope • Fetures or requirments of the result of the project • Project scope • Features or requirement on the execution of the project
Execise • What are the main scope of a research project (academic), PhD project and a R&D Project (non-academic)? • What are the relation between these?
Scope planning • To define scope it i needed to balance the scope according to the project • Various inputs are needed • Context • Product requirements • Organisational know-how • Stakeholders requirements • Etc.
Scope definition • Detailed scope definition is crucial for project success • Well defined scope gives • Conformance between goal and result • Cooperation and communication • Motivation • Clear project closure
Scope definition • Defining scope • Divide into managable goals/requirements • Managebale goalS/requirements ensures • Better planning of time, cost and resources • Defined baseline • Easier to identify responsibilities
Scope definition • When it comes to objectives, think SMART: • Specific • Measurable • Accepted • Realistic • Time limitied
Exercise • What is the aim of a PhD project? • What are the objectives of a PhD project?
Scope definition • Prioritise objectives • Scope • Time • Cost
Work Breakdown Structure, WBS Work Breakdown Structure, WBS: • Definie the the complete scope of the project • Is a deliverabl oriented hierarchical decomposition of the project ”…..all the work required, and only the work required, to complete the project successfully”
1 Project 1.1 Motor 1.2 Chassi 1.3 Body 1.1.1 1.1.2 1.1.3 1.2.1 1.2.2 1.2.3 1.3.1 1.3.2 1.3.3 Akt. 1 Akt. 7 Akt. 3 Akt. 6 Akt. 1 Akt. 2 Akt. 5 Akt. 4 Work Breakdown Structure, WBS
Guidlines for the WBS 1. A work package should only exist ones 2. The woek in one work package is the sum of all the packages on the level below 3. Each work package has only one responsible 4. The WBS structure should follow the actual work progress 5. The project team should take part in formulating the WBS 6. Document each work package
Exersice • PhD project (Scope) • Courses • 4 papers (journal papers) • Cover
Work package descriptions • ID and name • Scope and requirements (what shall be done) • Who is responsible • Time • Cost • Dependences
