E-MAILWRITING By- Dr. Shalini Kalia
Weakest Links in E-Mails • Vague subject line • No greeting and sign off • Poor formatting • Vague messages • Hunting for the response • Unfriendly tone • CC to whole world • Bad grammar, spelling and punctuation • Just plain sloppy
How can you make E-Mail work for you? • Turn off the instant messaging system • Send cc to those who need to know, not to everyone you know • Set up filters on your e-mail system • Don’t panic-you can always pick up the phone
Creating Electronic Rapport • Lead the reader into the message • Thanks for lunch last week. It gave us good opportunity to learn more about your new project, which sounds very interesting. • Show emotions • I’ll be pleased to help you sort out this problem. • Use a visual language • This is all quite clear to me now.
Netiquette • Never think you are talking to a computer while finalizing the wording, style and tone of message. • Ensure you follow the rules of good writing • Take off the caps lock. DON’T SHOUT • Informality is OK in e-mails • Question your subject heading • Use short sentences and short paragraphs • Enumerate with numbers or bullets • Tidy up long sentences • Ensure everything is right before you hit ‘send’
