What Happened • Was Voluntary – Two Systems • By Laws Change Annual Meeting February 2009 • Mandatory Headquarters Anniversary Billing
What’s Going to Happen • HQ will invoice, collect and distribute dues from members at renewal time • Existing members will be given a renewal time or “Anniversary Date” of 1 June • After 1 June, Squadrons will collect a full years dues from new members • New members’ anniversary date will be the month they join • New and existing members will be able to pay with a credit card
Traditional System • 1 February – HQ sends Treasurer’s Dues Update Form • 30 April – HQ mails dues notices to members • Members write check to squadron
Traditional System • Members pay local squadron • Treasurer marks member paid • 1 June – Squadron Treasurer sends second notice to those who haven’t paid yet • 30 June – Squadron Treasurer sends national portion of dues and Dues Transmittal to HQ • Non-renewals are dropped
HQAB • 1 February – HQ sends HQAB Dues Update Form • Same information as before, plus • Bank information for ETF deposits
HQAB • Two months prior to renewal (1 April for existing members) HQ mails dues notices to members • Mail-to address is HQ • Members write check to USPS, charge dues on form, or pay online • Online payers get to update biographical information • Members who mail payment can update skills information on back of form • No dues transmittal to squadron treasurer • Members pay USPS
HQAB • Status Report Available On Line • Deposits made to Squadrons and Districts every month (twice a month during peak times) • At renewal (1 June for existing members) – HQ sends second notice to those who have not paid yet • One month past renewal (1 July for existing members) – non paying members are marked non-renewed
HQAB – Status Report • Online Status Report Updated Daily • www.usps.org/dues/reports • The status report will list all members and their status • Pending – Two months out, dues notice has been mailed • Due – One month out, second notice has been mailed • Past Due – First month after due date • Non Renewed – more than one month after due date • Paid • Past Member – Non-Renewal asked to rejoin • New Member – First year of membership
New Members – HQAB(After 1 June 2009) • New member writes check to squadron • Or fills out credit card voucher payable to USPS • Squadron sends voucher to HQ, which ETF deposits full amount to squadron • Squadron mails or faxes MemCom • HQ invoices squadron for National dues • New Member Anniversary date set to month of membership – no pro-rated dues
New Members • Squadron collects full year’s dues and initiation • Send completed membership form to HQ • If credit card, send voucher and form to HQ • HQ will process and return entire amount • HQ will bill squadron for initiation and dues • Squadrons hold District dues • In April District will bill squadrons
