Order Mod Training Module Overview Description: This training module will take you step-by-step through the Order Modification (Order Mod) document in the Regional Business Application (RBA) IT-Solutions Shop (ITSS) component. Navigation:If the tutorial opens up in your web browser, simply click your mouse or your space bar to advance to the next slide. Use the “Backspace” key to go back. If the tutorial opens in the PowerPoint application, click on “F5” to view the tutorial. Use the spacebar or click your mouse to advance to the next slide. To go back, click on the “Backspace” key.
Order Mod Privileges Clients and Contractors do not have the ability to propose or edit existing Order Mods
view Order Mod Doc from Order Package view Click on the Order Mod link in the Order Package view to open an existing Order Mod document in view mode. Each order leg after the basic will have at least one Order Mod document.
Within the Post-Award Workflow Context GSA users can create an Order Mod any time after the basic order is awarded If task items are added to or removed from the order during an Order Mod then task item business rules enforce that either an RFQ is issued or a bilateral PO is issued
COI / Top of form / GSA user / view mode Create an Order Mod by clicking the Order Mod button on the COI. The browser will refresh with a new Order Mod in edit mode. An order must have an awarded Purchase Order for the Order Mod button to be visible to the GSA user.
Order Mod / Top 1/2 of form / GSA user / Edit mode View general information about the order If task item dates are changed via the Add/Edit Task Items form then upon return to the Order Mod the order-level Period of Performance and/or Delivery Date will be re-derived based on the new task item dates Enter text in the Order Mod Body text area or upload a file attachment
Order Mod / Bottom 2/2 of form / GSA user / Edit mode Dollars Subform Select the type of Order Modification. If mod type B. Admin Mod is selected then the system will not allow any changes to task item amounts or dates. If mod type 1. Deobligation is selected then the system will enforce that each task item is reduced to $0.00 Cost to GSA and $0.00 Fee Amount. The Dollars Subform is covered in detail within the Dollars Subform Training Module
Next Steps… A business rule enforces that the New Task Item Amount does not exceed the task item Contractor Proposed Amount. Create an RFQ for the Order Mod to get new Task Item Quote Amounts from the contractor. If the contractor increases the Task Item Quote Amount then the New Task Item Amount can be increased on the subsequent Market Analysis. If task items are added or removed from during an Order Mod then task item business rules enforce that either an RFQ is issued or a bilateral PO is issued
