Introduction • Movement module can tell you the following things about physical items: • Where it is • Who put it there • Where else it has been
Introduction • It does not tell you: • Why it is there • Where it needs to go next • Whether you can take it! • These questions can be answered by the Orders module and/or the Loans module • Loans processing could be simplified if there was more integration between Loans and Movement
A simple Internal Loan example • Borrower puts a reservation on the item i.e. creates a loan - Borrower has 2 new attributes – Delivery Location and Pickup Location - Delivery Location for Borrower is defaulted into the Loan record - loan item status of Reserved • Item retrieved from vault on appropriate date – may be placed in acclimatising room if necessary (Movement scan done) - loan item status of Reserved
A simple Internal Loan example • Item delivered to Borrower’s delivery location - Movement scan done - Movement module detects that current location of item is equal to the delivery location in an active loan and emails a notice of delivery of the item to the Borrower - loan item status of Reserved • Borrower completes their use of the item and then places it in a Pickup location - Movement scan done - loan item status of Reserved
A simple Internal Loan example • Item is picked up and returned to the vault - Movement scan done - Movement module detects that current location is a permanent location and acquits the active loan for this item - loan item status of Acquitted
A simple External Loan example • Process can be very similar to an Internal loan except: • Booker puts a reservation on the item • Item is delivered to Booker’s delivery location, generating an email notification • When item is despatched, a Movement scan should be done using a location of “ON EXTERNAL LOAN”? • When item returns from loan, it could be moved back to the Booker’s delivery location, also generating an email • After checking, Booker could place item on Pickup location • Once the item is back in the vault, the loan will be acquitted
Request Copy to Video - an example of possible Orders/Loans/Movement Integration • User (Mr Searcher) finds a title of interest which only has film components • From the item list, right click menu contains option ‘Copy to Video’ • Orders screen comes up – Mr Searcher only has to enter the Requested Finish Date. He will be set as the Customer for the Order
Request Copy to Video - an example • MAVIS automatically creates a Reservation for the film component, setting the Borrower to the Supplier of the ‘Copy to Video’ Product e.g. Technical Services • Film component is retrieved from vault on appropriate date via normal Loans processing and delivered to the Borrower • Movement scans occur during this process • Technical Services scans the item’s barcode in the Find Order Line window to bring up the relevant order line
Request Copy Film to Video - an example • Starts the order line (logged on user will automatically be assigned as the Technician) • Makes copy to video, fills in Resources Produced, sets Order Line to Completed • Film Component is placed on Return to Vault Shelf (movement scan done) • Video component is moved to Order Customer • Film Component is returned to vault – Movement module detects that it is in its Permanent Location and acquits reservation
Conclusion • These are just examples! • Sites will have very specific workflows – MAVIS can be lightly or heavily customised according to requirements
