Place Published changes... We used to collect as: Country, State, city We now collect as: Country This applies to all categories for Place Published and for conferences applies to both the Place Published and the Conference Location
Conference Abbreviation changes... We used to collect as: Acronym Year We now collect as: Acronym only This data is critical data for matching to the ERA conference list. The Office of Research will shortly be releasing a guide to the most common conferences, their acronyms and correct names.
Collecting Pages for A1... We used to collect as: No collection We now collect as: Start, End and Total page numbers This is another change out of the ERA requirements for books.
Things to be aware of with Data Entry... These fields (Rank, ERA ID, Location) are all Office of Research fields only, please do not insert any data into these fields. These little things make life in the Office of Research easier....
Things to be aware of with Data Entry... Please ensure that the eprints id does not include an ending hyphen e.g. http://eprints.qut.edu.au/1234/ These little things make life in the Office of Research easier....
Things to be aware of with Data Entry... • Please always check that your links work!!! We clean up dozens of DOI’s that are incorrectly entered (eg. Htp, missing the //, dx.doi.org) • The short description should be DOI (in caps), no additional details. This assists in being able to put this information into reports. • Always go to the end of the DOI and hit “Backspace” this ensures that the DOI is not duplicated or including a carriage return
Common Issues... • Internal Personnel • If you know the person has left QUT uncheck the “Display only current records” on the Add Contributor form to show all possible staff (both current and non-current) • Please contact RM Support to have new internal staff and students entered on RM.
Common Issues... • Adding External Authors • Ensure that you enter an Alphanumeric code for external authors • Don’t forget to add an organisation code on Page 2 of the Add Contributor form
Common Issues... • Entering a book chapter • Use only the first 9 digits of the ISBN in book title • Once the book has been entered you are unable to change any details. If you need the title changed please email the RM number and book code to RM Support
Common Issues... • Adding Linked AOU’s • The top half of the Linked AOU screen shows the AOU attached to the authors • If there were any faculty/institute collaborations you need to highlight the AOU against the person and hit COPY to move it to the bottom screen.
Recommended Reports for monitoring the collection • P103 Status report • This report is designed to list the status of publications for follow-up during the HERDC collection, it will list the last significant event listed by the Office of Research • e.g. Received, Verified, Missing verification information.
