Committee Activities • Conference Calls twice a month • Collaborative effort using Google Docs • Developed Site Plan and Content for new site • Once Content was developed, bid out the site to numerous web companies • Some were based on searches for web company • Some based on a bid request posted on TradeSeam.com (business network) • Bid requests went out to 13 vendors

  4. Key Considerations • Agency not individual web designer • Looked at capabilities of web hosting companies • Network Solutions—has in-house design team • IX Web Hosting—farms out design to a design company • Go Daddy—only uses Template designs

Key Considerations • Content Management System (CMS) used • NSCF website will be maintained and updated by a team of individuals • NSCF website will be kept updated on a monthly basis • CMS must be user-friendly • Prefer CMS that are “open-source” • Can be hosted anywhere (UNIX) • No monthly license fees • Wide variety of plug-ins (databases, photo galleries, document libraries)

  6. Key Considerations • Databases (Trips, Council Meetings. NSCF Contacts) • Mandatory Attributes • Self Populating (each Club/Council will enter own information) • Searchable by • Trips: Club/Council/Destination/Date • Meeting: Council/Date • Archivable (as value added to Industry Partners)

Key Considerations • Integrated Social Media Optimization (Push out) • LinkedIn • Facebook • Twitter • RSS • Search Engine Optimization (SEO) • Site designed with enhanced SEO • Strongly recommend the NSCF budget for on-going SEO campaign for site to keep site optimized for search engines and traffic tracking

Key Considerations • Cost • Strongly tied to ability of NSCF to create a Industry Partners Membership with yearly dues • Recognizing that NSCF is not-for-profit will no major revenue stream • While some bids were not considered because of cost (both high and low), the majority were considered based on their merit

  22. Review of Bids • Of 13 requests, received 10 bids • Had conference calls with all but 1 to make sure they understood what we are looking for particularly in regard to databases

  23. Bids that were ELIMINATED • Adoovo/Strong Joomla • Quote: $4,560 • Reason: No human response-automated with line item numbers • SpinWeb • Quote: $19,000 + $500 monthly licensing and support • Reason: DUH

Bids that were ELIMINATED • Admin E-solutions • Quote: $5,750 + additional $$ databases+ $275 monthly hosting/licenses/support • Reason: Not Open Source CMS, cost, small family run company • IX Webhosing/Inline [Bits] • Quote: $1,120; no mention of databases • Reason: DUH (estimated 20 hours for development)

Bids recommended for CONSIDERATION • IronPaper • Quote: $7950 (Hosting: Unix-anywhere) • Pros: • Good follow-up/detailed bid • Do work with many not-for-profits • Can offer, Joomla, Wordpress or Adobe CMS* • Cons • Price although in line with market costs • * Adobe system is not open source so you must host with Adobe ($220/yr) BUT 24/7 tech support is INCLUDED

  29. Bids recommended for CONSIDERATION • 7-Strategy • Quote: $8,000 (Hosting: Unix-anywhere) • Pros: • Good follow-up/detailed bid • Wordpress • Cons • Concluded that what we are asking for is a$10,000- $12,000 site (accurate assessment) but willing to lower bid because of not-for-profit
