Golden Rule • FOLLOW THE GUIDELINES! • … even if you think they are stupid.
Contact details • Arrange to have access to an email (and check it at least once a week) or a fax either directly or through another organisation • Provide the details of the person in charge of the day to day running of the project (i.e. that can answer questions) • Be accurate!
Should include: mission (goals), programmes & services, accomplishments, structure (who does what, including mechanism for financial accountability) Be brief and concrete Make it clear that your organisation has goals and experience relevant to the project proposal Description of the organisation
Problem statement/ description of the situation • Be focused, keep to the problem that you want to address; the logical link to the objective should be apparent • Describe a situation that you will solve among your beneficiaries (not in your organisation) • Describe how you collected the information you are presenting • Include few simple & clear statistics or examples • Be brief and do not use jargon
Goals and objectives • Remember to make them: • Logically linked to the problem statement and the activities • S.M.A.R.T • More than one, but not too many!
Activities • In each activity, indicate: • Who will benefit, how many people will benefit, when each activity will happen, for how long and how often • Organise activities by objective (and it should be clear how, if you implement the activities, you will achieve the objective) and in chronological order • Do not list too many or too few (5-10 per objective)
Resources and budget • For each of the activities, do not forget to indicate what you will need in terms of: • Material resources (e.g. premises, equipment, technical materials) • Human resources (who will be available and capable of being in charge, and to do it
Monitoring • You might need to indicate and identify: • who and how will check that activities are being implemented according to plan? • who and how will record how many people, of which age and gender have benefited from each activity? • who and how will get feedback from the beneficiaries of each activity? • Do not forget to identify and show whether you will need additional resources
Evaluation (I) • Have all activities been implemented according to plan (sometimes called process evaluation)? • Good monitoring will give you all the info • Have you achieved your goals (sometimes called impact evaluation)? • Measuring impact on the substance abuse behaviour is very difficult, get help!
Evaluation (II) • Have you achieved your objectives (also called impact evaluation)? • Easier to measure impact on your risk/ protective factors (especially if objectives were sMart) • Do not forget to identify and indicate who will undertake the evaluation, how & with which resources
