Moderator Best Practices • If a session is not carefully planned it can easily turn out to be a disaster, and a large part of that planning involves you! • Pre-meeting Tips: • Contact speakers early • Request contact info, session-related details (e.g., bio, title, abstract), & outline session expectations • Encourage speakers to identify a back-up! • Request draft slides 2 weeks prior to the event, review for content, layout, etc. • Schedule pre-meeting(s) to review slides, logistics & on-site drill • Prepare mock questions & have audience plants
Moderator Best Practices • Pre-Session Tips: • Have speakers show up to the session ~30min early • Meet with your speakers, outline duties and remind time limits • During Session Tips: • Keep the session on time and on track • Avoid formal intros • Get panelists to talk to each other and get the audience involved early • Thank speakers, organizer, audience… • Expect the unexpected • Post-Meeting: • Send a personal thank you to your speakers & share feedback • To summarize, I can’t help but think of one word –COMMUNICATION. Provide your speakers with all of the tools necessary to be successful!
