F2F and call editing meetings M C C Contribution & preparation • Contributors make sure their inputs get copied to MMA. • MMA distributes all inputs received and most recent version of the mobile ad guidelines (“meeting pack”) to all Committee members minimum five working days in advance of editing meetings/calls. • Late input submissions may not be treated in the respective editing meeting. • Meeting minutes are distributed within one week after the meeting including a version containing all changes and amendments agreed during the meeting. Logistics & invitation • F2F (call) editing meeting dates and agenda are communicated with minimum six (four) weeks notice. • Meeting times accommodate EMEA and NA “stretched” working hours. Once APAC members participate regularly, night times will be suffered in turn. • Members are asked to volunteer hosting F2F meetings. MMA endeavours hosting meetings in their own premises or alongside MMA events where practical. • MMA/host facilitates in-meeting communication using voice conferencing. MMA facilitates electronic document sharing (e.g. webex, Google Apps).
Immediate next steps • Agree milestone plan among sub-committee leadership team • Confirm specific dates for individual milestones • Communicate final milestone plan to wider committee a.s.a.p. • Contribution deadline end of April • F2F editing meeting dates • Emphasize full-day editing nature of meetings with slots for all sub-committees (not just programme update) • Agree hosting and communicate meeting logistics • May and June a.s.a.p. • September meeting by June at the latest
