Before you can check out equipment… • Completely Fill out the “Equipment Usage Agreement Form” • Make sure your instructor has signed and dated the form.
Before you can check out equipment… • Bring the following items with you to the Equipment Room: • Signed “Equipment Usage Agreement Form” • Driver’s License (or state-issued photo I.D.) • ETSU ID • Processing takes 3-5 minutes per student.
RTVF Student Project Policy – Use of Prop Weapons • This information is also available online at: www.etsu.edu/rtvf • It is your duty to be sure you follow all necessary steps to ensure the safety of people around you and the people on your crew when using a prop weapon in your film shoot. You must have clearance to use any kind of prop weapon anywhere on the ETSU campus and you must have clearance from the police to use any kind of prop weapon when filming in public. • ETSU, The Communication Department, RTVF, faculty and staff are not liable for anything that may happen during a production or on any specific location whether the location is on campus or anywhere else. The university cannot be responsible for any fines that the student may incur during the course of making a film. • While filming, students must demarcate the filming area with bright, yellow, “caution,” tape to let the public know that the event being filmed is not real. RTVF students may check out rolls of CAUTION tape from equipment checkout. Equipment Reservation Procedure • Completely fill out the “Equipment Reservation” Form • Must be signed and dated by your Professor
Explanation of Reservation Form General Info (Please put Class Section Number) Assignment information Start / End Date refers to the window of time the student has to check the equipment out. Equipment Information Specify ALL equipment to be checked out. Actual Time and Date Equipment you intend to check out equipment
Equipment Reservation Procedure • Give the clerical worker at the work desk your form. • S/he will reserve your equipment for you. • Please bring in this form AT LEAST one day before you plan on checking out equipment to ensure availability. • Reservations are made on a first-come, first-serve basis. • Reservations may be made up to two weeks in advance.
Check-Out Procedure • Bring your ETSU ID when you return to the Equipment Room on the date of your reservation. • Give your ETSU ID to the Equipment Room Manager at the Check-Out Desk. • Tell the Manager that you are picking up your reserved equipment. • The managers and clerical staff will retrieve your equipment.
Check-Out Procedure • Make sure you have everything you need. • If you have any questions about the equipment or procedure, ask the manager. • Sign your receipt. • You may ask if there is a student worker available to help you carry the equipment to your vehicle. • If there is not a worker available to help, you may leave your equipment in the equipment room if you have to make multiple trips to your vehicle. • If you are using an RTVF Loading zone permit, you may also leave your equipment in the Equipment Room, get your vehicle, park your vehicle in the loading zone, then retrieve your equipment.
RTVF Loading Zone The RTVF Loading Zone is reserved for students picking up and dropping off heavy and expensive equipment. It is located outside the doors closest to the equipment room. You must check out and display a parking pass from the equipment room in order to utilize this loading zone.
RTVF Loading Zone Procedure • Check out a loading zone permit from the equipment room. • Leave your equipment in the Equipment Room. • Take your loading zone permit to your car and display it in the front dashboard, visible from your front windshield. • You may now park in the loading zone and retrieve your equipment from the loading zone.
WARNING • You are now financially responsible for the equipment. • If equipment is lost, stolen, or broken, you are liable for the full replacement / repair cost. • Even if you are working in a group, the person checking out the equipment is 100% liable for that equipment. • See “Equipment Usage Agreement Form”.
WARNING • Equipment is due back by 10:00AM the following day (unless prior arrangements have been made). • A $25 late fee (per day) will be charged if equipment is turned in late. Fee payment is accepted by the Equipment Room managers. • Students who owe outstanding fees will not be allowed to check out equipment until the fees have been paid. • If student fails to pay late fees by the end of the semester, then a “hold” will be placed on their account similar to an unpaid parking ticket “hold”. • See “Equipment Usage Agreement Form”.
Equipment Safety in the Field • Always take ALL equipment indoors when keeping equipment overnight • An extremely hot or cold environment (like the trunk of your car) can have detrimental effects on any electronic or hydraulic equipment. • This also provides an added level of security.
Equipment Safety in the Field • Do NOT force any piece of equipment into place. • If a certain piece of equipment doesn’t fit in place, a switch doesn’t flip, or if you have any trouble with a piece of equipment, do not try to force it or fix it. • Report these problems immediately. • Bring in equipment for repair to the Equipment Room. • You will not be financially responsible for any piece of equipment that is found to be previously defective before you checked it out.
Equipment Safety in the Field • Use sandbags and gloves when setting up lights in any situation. • You will be required to check out sandbags and gloves when you check out any portable Light Kit. • Lights can become extremely hot very quickly when turned on. • Use gloves every time you handle any light. • Allow lights to “cool down” before you put them back into the Light Kit. • DO NOT attempt to change a burned out light. Let the Equipment Room staff know when you check the equipment back in.
Equipment Safety in the Field • DO NOT modify equipment in any way unless you are given permission by Daniel Santiago, Chief Engineer. • You may change any internal settings in the equipment, such as white balance. • Only use ETSU equipment with other ETSU equipment. • If you have personal equipment you would like to use in conjunction with ETSU equipment, please discuss it with Daniel Santiago before proceeding.
Equipment Safety in the Field • Only trained, authorized students are allowed to handle ETSU equipment in the field. • RTVF equipment may only be used for authorized class-related projects.
Before you Check-In Equipment… • Make sure you have all equipment and all components to any equipment. • Make sure you have taken out ALL batteries from equipment. • Roll cords using the “Over-Under” method. • Make notes of any problems you had with equipment. • Save and backup any information saved on Memory Cards • MEMORY CARDS WILL BE ERASED WHEN CHECKED-IN.
Check-In Procedure • All equipment must be checked-In by 10:00AM on the day equipment is due. • You may call the Equipment Room Manager (439-4175) prior to returning equipment to see if help is available to transport equipment from your car to the equipment room. • Do NOT park in Little Bucs parent pick-up or “Reserved” parking to drop off equipment (You will get a parking ticket).
Check-In Procedure • Bring all equipment to the Check-Out Desk • Inform the manager if you had any problems with any equipment (You will not be held responsible for normal wear and tear or previously defective equipment). • You will be required to wait while the Equipment Room managers check-in all equipment. • Once all equipment has been checked-in, you are free to leave.
