INTERLIBRARY LOAN-FREQUENTLY ASKED QUESTIONS Linda Fox Capital Region BOCES School Library System Liaison Meeting – October 19, 2006
ILL FAQ • When should I use ILL? • A client – student, teacher, administrator, parent – needs a book or article that you don’t own.
Why should I ILL? • Full and complete access to information • Lifelong learning • Unique role of the LMS • Fabulous customer service! • In the long run – advocacy!
OK – I want to borrow a book. What do I do? • 1. Check the SLS Union Catalog: • www.crbsls.org (click on “Catalog”) • Found it? • Find the call number of the title in the loaning library • Check your directory for their ILL e-mail • Send an ILL request to their ILL e-mail address
But I didn’t find it there… • Didn’t find it? • Try other local school-based catalogs • www.crbsls.org • Interlibrary Loan • Area School Library Catalogs
OK – I still didn’t find it. • Perhaps this is a title that would be better found in a college or public library catalog… • www.crbsls.org • Local Library Catalogs • You can search by the individual site
Why would I do that? • Because perhaps • Your client lives near that library • Your client has a parent, friend etc. who can pick up the book • You have a good working relationship with the ILL clerk in that library and you know it will get here quickly!
If not? • If you do not care where the books come from – you should use the CDLC catalog – it includes all local catalogs – including ours! • www.cdlc.org
Now what? • Pay attention to: • The title and author – be sure you are ordering what your client wants. • Availability – is the book in? • The lending library’s call number – very important
Why do they need their own call number? • They don’t have to spend their time or their staff’s time looking up information you should already have looked up!
OK- Now I know what I want and where it will come from – what’s next? • Check the policies of the lending institution. • Remember – SUNY is the lender of last resort. Try to find it elsewhere if possible…
How do I place the order? • By Fax • By Phone (least favorite option) • Or by E-mail • Keep careful records of what you ordered, when and for whom.
When the book comes in… • Contact your client • Look your client in the eye and tell them – We ordered this book for you from XXX library. It does not belong to us. If you lose it – it will cost $1000’s to replace it.
Why should I do all that? • That personal connection and the “look in the eye” greatly increases the likelihood if the book being returned.
When the book is due • Clear up your own records for internal control. • Note the date you returned the item. • From a college or public library? - Label it clearly with the CDLC code of the lending library. • From another school? Label it clearly with the name of the school. • Put it in the BOCES courier box.
Someone just called me and wants one of our library books. What do I do? Yes! Say YES! If you see no immediate need for the title in your building for the next few weeks – send it! That’s the spirit!
Find the book on your shelf and check it out! • Check the book out on your own system – automated or cards – to the borrowing institution. • Label it clearly • Sending to a school – label with the school name • Sending to a college or public library – label with the CDLC Code • USE A BLUE ILL SLIP! • Put it into the BOCES courier box.
