  1. Electronic Grant Submissions via Grants.gov: What PI’s Need to Know Jim Koenig, Ph.D. Professor Department of Psychiatry, MPRC, PIN, SOM

  3. How do I get started? • Get an NIH eCommons PI account established with ORD • Download PureEdge Software (pc). Mac Users can use either Citrix Server or VirtualPC. • Go to Grants.gov and identify a Funding Opportunity Announcement (FOA aka PA or RFA) that fits your science. • What about investigator-initiated science? • There are Generic R03/R21 FOAs on the website. These are linked to appropriate forms.

  4. Header Information Pre-filled from announcement

  5. Now what? • As per NIH 398 applications, fill in the forms that are application appropriate. The forms may have new names but the information is about the same. • Allow ample time - Just to fill in the forms will take 40 person-hours excluding scientific presentation. • Each form must be attached each time an application is submitted. • Budget - In form set are forms for detailed budget. However, you can still use NIH’s Modular Budget if total direct costs are < $250K/year.

  8. Senior/Key Person Profile PI eCommons User Name

  9. PHS 398 Research Plan

  10. Component: PHS 398 Research Plan • Separate PDF attachments for each section (designed to maximize benefits of system validations & to accommodate bookmarking of the image) • Same formatting requirements in the PHS398 continue here—margins, page limits, etc • Appendix Material • Allows up to 10 separate attachments • Will be stored separately in the eRA Grant Folder, not as a part of the main application grant image • Will be accessible to appropriate NIH staff and peer reviewers • New!Effective for the May 10, 2006 submission dates and beyond, use links to on-line journalsfor publication references when available. See Guide Notice: http://grants.nih.gov/grants/guide/notice-files/NOT-OD-06-051.html

  11. Component: PHS 398 Research Plan—Helpful Hints • Create as a single document using any word processing software. Separate only at the end before uploading • Do not include headers or footers • Do include a section heading as part of the text; i.e., Specific Aims, Background & Significance

  12. Submitting your grant • PI’s no longer submit grants to NIH or other Federal Agencies, this is now ORD’s responsibility. • Completed applications must be forwarded to ORD 9 working days prior to NIH deadline, so ORD can finalize paperwork and transmit on your behalf.

  13. Most Common Errors • Missing PI’s Commons User ID on the Senior/Key Person form, “Credential” field • PDF issues • NIH only accepts attachments in PureEdge or PDF format. Do not submit attachments in other formats such as Microsoft Word, Word Perfect, etc. • Do not put special characters in file names. • Disable all security features in the PDF document. • Do not send PDF documents with editable fields (fields that can be changed).

  14. Things to think about • Can your computer handle this task? Do you have the software necessary to generate pdf’s? If you have secretarial support, how will files be shared? • Time management becomes critical. Do not wait until the last minute to start your application. • Submission of your grant is no longer in your control. Allow time to work with ORD to complete your grant in a stress-free manner. • The devil is in the details! There are a lot of details in this new process that need your attention. • Be prepared for mistakes. They are inevitable.
