Southwest Ohio Self-Insures Association • Began in 1970 • Brings self-insured companies and their administrators together with service providers. • Provides education and informative programs on a monthly basis. • Encourages networking • Gives members better access to Ohio Bureau of Workers’ Compensation and the Industrial Commission. • Encourages the applications of laws, rules, and regulations affecting self-insured employers.

HISTORY • The organization sends meeting notices to contact using email. • The administrative assistant is a former board member. • Attendance at the monthly meetings had dropped by about 50% • The annual golf outing in July had only 50% attendance. • Members would contact board members to advise they had not received meeting notices. • Unsure is contact data base had been maintained. Why I Volunteered • To assist the organization in developing a database that could be used for meeting notices and newsletters. • Due to the loss of revenue, the organization could not afford a new administrator for the time being. • I have been a board member and had just stepped down as President of the organization and had not taken any other executive position on the board. • I had the time, but also knew from previous conversations what the board was looking for in a database.

Strengths • Longtime reputable organization – started in 1970 • Established reputation with the Bureau of Workers’ Compensation and the Industrial Commission • Stable facility for meetings since 2003 • Large network of providers and businesses that will present information at the monthly meetings • Loyal membership

Weaknesses • Relies on the $25.00 monthly meeting fee to support the $1,300.00 lunch and facility rental. • If reservations fall below the number 60, money must be taken from reserves to cover the cost. • Memberships are slow to renew, leaving the organization without significant cash reserves. • The 2016 annual July golf outing that helps increase the organizations reserves was only attended by less than half of the expected 70 golfers.

Opportunities • Retirement of previous administrative assistance permits the organization to utilize the new website to send meeting notices. • Updated data base ensure that the notices and newsletters are sent to the appropriate individuals. • Board members can easily use the website and data base to send information. • The organization can now move towards sustainability and become more socially responsible when interacting with members.

Threats • Vulnerable to economics • Reduction in membership • Inability to attract qualified speakers • Inability to continue strong relationship with the Ohio Bureau of Workers’ Compensation and Industrial Commission. • Loss of revenue from annual July golf outing as due to attendance by members.

Recommendations • Utilize the organizations website to send meeting notices, announcements, and newsletters. • Look into using an email feedback loop that will track spam complaints. • A feedback loop would also update the database with any email changes or cancelations. • Develop process of on contacting companies or individuals regarding email delivery failures. • Ensure that notices sent are readable on smartphones and tablets.
