Part I –Optimization Primer Part II -Order Taking Part III –Scheduling
Optimization Primer What Optimization Does • Add cost considerations to each decision • Ensure that all available options are examined • Ensure “cost/service” conflicts are resolved in alignment with company goals (overall, by customer, project or order) • Provide time for dispatchers to focus on exceptions and other factors which cannot (should not) be automated • Improve quality of dispatch decision making when multiple hats are worn
Optimization Benefits (Short List) • Driver Call in • Jobsite Wait Time • QC Loads • Order Priority • Settings to Monitor Age of Concrete • Restrict Loads to Locked or Best Single Plant • Truck and Driver Attributes • Lower Cost of Delivery and Raw Materials • Driver Plant Queuing • Leveraging Plant Network • Coherent Accurate Plan • Allows for Better Crisis Management • Allows Dispatchers to Focus on Exceptions
Optimization • Costs • Service Penalties • Priority Truck Req’ts Schedule Req’ts Order Req’ts • Updated Plan • Capacity Plan • Real Time Schedule Ticketing COMMANDseries How does CmdOptimize work? • Changes • Quantity • Time • Rate • Status • Breakdowns • Delays • Etc.
100% GPS Entry (Mapped Orders)
Delivery Address-GPS • Goal is for 100% of all orders to have GPS • If not ………….Optimizer assumes • All loads must be shipped from Scheduled Plant • All travel times are defaulted from Schedule • Optimizer will not take into account non “Scheduled Plant” tickets. • Trucks must return to Scheduled plant • Trucks will be deadheaded to Scheduled Plant
NOTE: These TIME fields no longer work. They only “display” a manually entered travel time on Tracking screen. You can edit times – Just Not Here. Travel Times Times in Blue, as seen here, indicate that these are user entered times
Travel Time Offset This is where you temporarily edit travel times
Travel Time Offset 100% GPS Entry Add time to map page times to pad the travel time on certain occasions, i.e. bad traffic b\c of wreck on the way to the job will add XX extra minutes to To Job time on order. These are NOT permanent changes!
Order Entry • Schedule Statuses have been altered • Normal No change • Will Call Not scheduled (Prefer Hold instead) • Hold Scheduled, drivers called • Weather Permitting Scheduled, drivers called
Order Entry • Schedule Statuses have been altered • Hold Delivery Scheduled. But Delayed 60 mins • Ticketing time is pushed back each minute if not released on time. • Completed Order is complete • Review Flag that order needs releasing. • Not Scheduled • Delay Next Load Shipper Setting Only
Item Availability • Automatically will exclude plants where Item is not active • The key is to maintain the Item Master locations. • Can now be altered in Projects in Schedule • Requirements
Order Quantity • Optimizer uses only the Scheduled quantity in orders • Standard Tracking displays only the Ordered quantity on • Plant line • Optimized Tracking displays the Scheduled quantity on • the Plant line
Order Entry Prod Line and Gap pertain to the placing of multiple mixes on one order and linking them together. Prod Line is the number of the mix in the sequence. The Gap is used when the customer might want to move a pump.
Order Entry Plant code is only used to determine under which plant the order is displayed on the tracking screen. Optimizer will ignore this and select the best plant fit for each load. Optimization
Order Entry Start time is a range. If the “Thru” time is blank, the Start time is considered absolute. If there is a range, COMMANDoptimize will try to start the order within this time period. Optimization
Order EntryRevealing Thru Times on T&SDouble-Click on “Start”
Order Entry Scheduled quantity is the best estimate that the order ship quantity will achieve. Example; 50+ order, customer who always order short Optimizer will schedule up to the scheduled quantity.
Order Entry If there will be a “clean up” load, put the scheduled quantity as more yards than the Ordered Quantity.
Order Entry When the ordered quantity is reached, the order remains “Normal” and is not placed on hold or changed to “Completed” status. The remaining loads remain scheduled but do NOT show in Orders to Load to prevent over-shipping.
Order Entry Orders are not removed from tracking when the ordered quantity is reached and the last truck has returned. Since remaining loads do NOT show in Orders to Load, a Red > sign appears on T&S when Ordered quantity is reached. A Warning to Dispatch
Order Entry Scheduled Loads Idea is to treat the Red > as an indicator to Dispatchers to place the schedule on a Hold Quantity. >
Order Entry • Summary • Optimization schedules remaining scheduled concrete. • Orders should be marked as completed if fulfilled. • Orders are still removed from tracking when scheduled quantity is fulfilled. • Set the Hold Quantity to the Ordered Quantity so it automatically goes on Hold if needed. • Problem: Don’t forget to change Hold Quantity when order changes.
Order Entry S - Scheduled Load Size restricts the loads up to this size regardless of truck used. Spring road, bridge, other load restrictions. T – Use Scheduled Load Size from truck file. F – Fixed Load Size
Order Entry Max Truck Size is a required field and is used to restrict the size truck available for this order If there is no truck size restriction, a default size of greater than the largest truck should be used. Optimization
Job Wash Time Shippers: This is very important to adjust.
Wash Time • Adjust this time if the order requires additional Wash time on site. (This is HUGELY important for proper scheduling.) • Examples: Color wash out, Remote Discharge Locations etc. • It does not matter where the washout occurs, jobsite, on the way back or the plant.
Order Entry Since Map Pages are required, these fields should be filled in automatically. These are for information only and will change as CS learns. Optimization will only use the Map Page times Optimization
Order Entry For 1 load orders, unload time will be set to at least 60-90 minutes. (Typically this is a 90-120 min RT time.) Do not use the allowed time (6 minutes per unit). Use a realistic estimate. Optimization
Order Entry Truck Spacing and Unload Time go hand in hand 99% of the time. Example, it doesn’t make sense to have a spacing that is LESS than an Unload time. That will stack trucks on the job. These numbers should match each other. (Although rare, you could have an Unload time LESS than Spacing.) Optimization
Order Entry All but one rate causes optimization to try to close gaps in service REGARDLESS of what rate was entered. If the first truck is unloaded early, optimization will try to close the gap. Optimization
Order Entry Rate types have been added: Qty/Hour Unload. This measures unload of the last THREE unload times of this order and uses it for future load scheduling. Great for larger orders of >100 yards. Optimization
Order Entry The Second is Fixed Qty/Hour Unload. Optimizer ships at the rate per hour no matter what. Use this sparingly! Optimization 47
Order Entry • Use: • Orders that want a specific rate with time to finish concrete between loads. • To keep trucks lined up to overtruck an order (not good for optimizing orders and reducing costs) Optimization 48
Order Entry Qty/Hour adjusts the loading time of future loads based on all concrete loads on the road/site/pouring. Qty/Hr Unload adjusts the loading time of future loads based on the last 3 concrete loads on the road/site/pouring. Fixed Qty/Hr Unload is a fixed rate and does not modify the loading time of future loads based on concrete on the road/site/pouring. Optimization 49
Order Entry FOB Orders Enter Plant Pick Up orders as FOB rate type on the Orders Schedule screen.
Order Entry FOB Orders FOB Orders can now show up on Tracking along with all scheduled orders (without having to go to FOB screen (J Key))
Order Entry An order priority is used to resolve DAILY conflicts. A single digit from 1 (low) to 9 (highest) is used. A default of 3 is suggested. Blank = 0
Order Entry A high priority does not guarantee that the order will get perfect service. i.e., Trucks must be available. Too high a priority can starve other orders for trucks
Order Entry – Job Wait Time Amount Of Time needed on job before pour. VERY important for good scheduling bc it extends round trip time. Good for Customers that meet the drivers at a gate to be escorted to site before pour.
Order Entry – Job Wait Time Could also be time to add extra products such as Superp at the jobsite.
Job Wait Time Time is added to On Job time to replace any default risk wait time.
Order Entry – Leading Orders Leading Orders: If this order is to follow another order, a specified gap between the orders can be specified here. Optimization
