What is an End of Assignment ePAR? • An End of Assignment ePAR is an ePAR that will end an employee’s current assignment as of a particular date with the plans that the employee will begin another assignment within the next three months. • An End of Assignment ePAR should be used when an employee will be returning for a future assignment within a short period of time. • A Termination ePAR should be used when an employee is ending all of their employment with UT Dallas permanently.   3. Log in to Galaxy. ePAR - End of Assignment

  4. Select Gemini HR. ePAR - End of Assignment

  5. To enter a new ePAR, access the ePAR Actions page at the following navigation:Main Menu > UTD Customizations > UTD HR Customizations > ePAR > ePAR Actions. ePAR - End of Assignment

  6. Select “Add a New Value”. ePAR - End of Assignment

  7. Click the dropdown menu for the ePAR action, and select “End Assignment”. ePAR - End of Assignment

  8. Enter the Employee ID if known. If not known, select the magnifying glass to search by first and last name. Enter the known information and click “Lookup” to search for the employee. Click on the correct employee ID to continue. ePAR - End of Assignment

  9. Selecting the employee ID will populate the employee’s current job information. This box can be used to include notes regarding the End of Assignment. This is a required field. It is the last day of the employee’s assignment. ePAR - End of Assignment

  10. If the employee has more than one assignment, either or both can be ended in the same ePAR. If both assignments are being ended, end dates should be entered for both rows. The end dates do not have to be the same for both rows. If only one assignment needs to be ended, leave the end date on the other row blank. ePAR - End of Assignment

  11. Selecting the employee ID will populate the employee’s current job information. A secondary contact with information regarding the ePAR can also be added. The “Submitter/Contact Information” will contain the information of the person who created the ePAR. Click the white arrow to expand. ePAR - End of Assignment

  12. When all of the information has been entered accordingly, select the “Save” button. Click the “Save” button to continue processing the ePAR. Further changes can be made after the ePAR has been saved, and the ePAR can be saved multiple times. Note: the ePAR cannot be submitted without first being saved. ePAR - End of Assignment

  13. Upon saving the ePAR, new fields will be available. Once an ePAR has been saved, a request ID will be assigned to the ePAR. This number will allow you to leave and come back to the ePAR as needed. The “Attachments” button can be used to upload paperwork related to the End of Assignment as needed. To attach a document, click “Attachments”. ePAR - End of Assignment

  14. When “Attachments” is selected, a new page opens up. Select the drop down box to choose a type of document to attach. ePAR - End of Assignment

  15. Once an attachment type has been selected, a document can be uploaded. After you have chosen your document, select the “Upload” button. Click “Browse” to search for the document you would like to attach. Click the “Add” button. ePAR - End of Assignment

  16. Once an attachment type has been selected, a document can be uploaded. Multiple documents can be added to an ePAR. To add additional documents, select the “+” button. Once all documents have been attached, select the “Done” button. ePAR - End of Assignment

  17. After attachments are completed, the ePAR can be reviewed before submission. If all of the information is correct, the ePAR can now be submitted for approval. Note: no further changes can be made once the ePAR has been submitted. ePAR - End of Assignment

  18. Once the ePAR is submitted, the Approval Workflow will be visible. You will be able to see the progress of the ePAR through the various approval levels. ePAR - End of Assignment

  19. You will also receive an email that your ePAR has been submitted for approval. The email will contain a link that will take you back to the ePAR if you are logged in to Galaxy. If you are not logged in to Galaxy, the link will take you to the Galaxy login page. ePAR - End of Assignment
