Strategic Overview • CMS • Providing a system to generate Academy York’s web presence and currently 7 Subject Centres • Anticipate that other Subject Centres will join when appropriate • Allows syndication of content between participants, news, events, funding opportunities…… • Promotes consistency of brand and navigation
The build – A toolkit approach and Subject Centre branches Training Installation Security Maintenance Software training component overview and building GEES HCA York T2 T2 BMAF T2 T1 PS HLST T1 T1 ICS Psych T2 T2 Toolkit 1 (T1) Framework for full site delivery . Ideal for Subject Centres who do not have in-house technical expertise, Full service option technical support for a Subject Centre website will be provided by Academy York. Subject Centres will write, administer, control, and publish their own content. CMS user training will be provided by Academy York. Toolkit 2 (T2) Suits Subject Centres who have in-house technical expertise. Web manager/developers will be fully trained to develop using the new CMS and help build the portal solution. Subject Centres taking this option will also write, administer, control and publish their own content and train their Subject Centre colleagues. Phase 1 - June 2007 launch for York , PS, BMAF, ICS Phase 2 - August 2007 launch for GEES, HCA , Psychology
Integra • Customer relationship management database • Logs interaction between individuals and at organisation level • Events – facilitates management of event aspects • Contacts – able to surface details held in individual records • Projects – records Academy project activity • Registration and Accreditation – manages the process and records activity
AIRDIP • Academy Intute Resource Database Integration Project (AIRDIP) • Allows easy sharing of resource metadata between Subject Centres, York and Intute • Ensures cataloguing consistency and quality • Exploring cataloguing facility for Subject Centres
Web portal pilot Content audit • All content visits complete • Content analysis complete - York, BMAF and Physical Sciences • Developed spreadsheet detailing way forward for York and toolkit 1 • Toolkit 2 – Guidance and spreadsheet provided for process to be carried out
Web portal pilot Hosting • Hosting in place • Development server (Dev) • live/production server (prod) • 8 servers total in solution • Training on CMS development complete

Integra Update • Five Subject Centres have gone live • BMAF, HCA, CEBE, Engineering and Physical Sciences • initial training carried out with key staff at each centre • HLST and PRS undertaking data mapping exercises prior to data migration, go live in March • Next phase - Bioscience, GEES and ICS. MSOR plan to go-live in the new Academic Year • Template is being developed for those not participating in initial phases to support collation of activity relating to subscribing institutions. • Further system demonstrations planned – running throughout the Internal Conference
Vocabularies Review • Vocabulary review complete • Managed by Jane Read • Conducted via email and one face-to-face meeting • Agreed to roll LTSN Pedagogy and Policy vocabularies into a single vocabulary – Higher Education Academy Vocabulary • ~ 100 terms added • Hierarchy amended to reflect BET
Vocabularies Review Updating of records • Through AIRDIP - records automatically updated as part of the migration process. • Portal Pilot Project records updated as part of the migration process. • The remaining Subject Centres will need to amend their own records and infrastructure. • Mappings are available

Portal pilot update Usability studies • 5 days studies carried out – Total of 30 stakeholders took part York Glasgow Oxford Belfast • ‘User centric’ design approach – What is experience of web end user? • Studies, online survey, expert review, initial workshop, web metrics – All inform design approach Usability study – clips Inform the pilot build only
