Stage 1 – before staff can lead an ed. Visit they must have… • Had induction training with the EVC • Have relevant experience/qualification i.ea minimum of Dep. Leader on similar visit • Had approval from Head that you are appropriately qualified to lead a visit • Read and understood all information regarding responsibilities when leading an educational visit (all on EVOLVE) • Keep up to date with any new information regarding educational visits
STAGE 2 – initial approval • Is the date free on the school calendar? • Is the minibus free if needed? • Initial email approval from SLT/EVC • Complete Ed Visits Checklist if applicable • Start completing EVOLVE and gathering all the relevant information • It is the visit leader’s responsibility to complete EVOLVE • Approval must be completed by 1 week prior to a day visit and 3 weeks for residential
Stage 3 – planning and gathering information for your trip pack • Include in your trip pack:- • risk management (Event Specific Notes) • emergency cards and checklists • printed copy of your EVOLVE approval • up to date medical information • itinerary • meetings with staff/ student • any letters/ info sent to parents
Stage 4 – pre trip • Collect all permission slips • Check all medical information • Give relevant information to school office and emergency contact (out of hours) • Ensure you have ‘emergency cards’ • Ensure all staff are clear on the emergency procedure • Trip pack is complete
Stage 5 – post trip • Complete evaluation section on EVOLVE • Report any ‘near misses’ or other issues • Keep a copy of all paperwork
