  1. What are the Types of Documents Used in a Project?

  2. “It is critical to keep any document used in a project concise, current, and up to date, regardless of the type. Making such project documents a habit will encourage everyone on the team to collaborate and stay on track.”

  3. 1. Business Case  It is critical to ask why before starting any project. As a result, the importance of the project will be emphasised in these business case documents. What is the project's goal, and what is the anticipated outcome? Depending on the size of the project, a business case project document can be a multi-page document or a simple one-page write-up explaining the project details. According to the project manager, the project sponsor must provide this document, as well as an economic feasibility study.

  4. 2. Charter  The project charter is a legal document that grants the PM ownership of the project by allowing him or her to plan, execute, and manage it. A typical project charter must include the project scope, timelines, requirement details, DoD, cost, project success factor, as well as people and other resources.

  5. 3. WBS  A work breakdown structure is a method of dividing work into smaller chunks. Once the team has a clear understanding of their roles, they must decide when to start a task and how long it will take. The project deliverables will be divided into work chunks based on the WBS objective. Allocating resources is a breeze with this document. This document shows how the work is distributed among the team members in a clear and concise manner.

  6. 4. Accountability Document  Once the scope has been determined, the PM must now identify people within the team who will be responsible for each task to be completed. This is essentially a matrix that shows who is in charge of which tasks. As a result, all team members will have a clear understanding of their responsibilities. This aids in the establishment of expectations and ensures that there is no breakdown in communication.

  7. 5. Risk Logbook  However, no system is perfect, and there will always be risks that cannot be avoided. This, however, cannot be used as an excuse for the project's lateness or failure to meet a critical deadline. As a result, creating an issue tracker and filling in details like what the problem is, how it occurred, who can solve it, and when it can be fixed is a good idea.
