  4. Use HRconnection • New faculty & staff: • Enroll for benefits (new faculty & staff) • Current faculty and staff: • View your coverage • Request changes in coverage (current employees) • Fall 2008 – open enrollment

Why HRconnection? • Fewer paper forms (hundreds of thousands less p/yr) • Less repetitive information requested from the employee • Currently, we manually entering newly enrolled employees and changes to the BCBS system from paper forms. • At the end of 2008 open enrollment, UGA must be able to pass electronic data files of employee and dependent information to the vendor systems of the USG health plan. Manual enrollment into BCBS will not be allowed. HRconnection will produce the electronic files transfers over an encrypted secure network.

  6. Voila!!!!!!!!! The Personnel Report (PR) process must change!

Employee eligibility files • In order for newly hired employees to enroll for their benefits, they must be in the HRconnection database, which is populated from the UGA personnel/payroll database -IMS. • Newly hired employee data must be entered into IMS earlier than when it would be under the current process.

  8. Personnel report (PR) process • When an initiator selects the Submit to electronic approval button in WebDFS, information in the PR will be uploaded to IMS overnight. • This information reflects the new hire benefit eligibility in IMS. • The next night, the information will be uploaded to HRconnection, and will then allow the new hire to enroll in their benefits. • In the future, iPAWS may feed WebDFS and/or IMS with new hire data, which will eliminate redundant work in units having to prepare/submit the PR.

  9. New ORP eligibility rules…

Optional Retirement Plan (ORP) • Currently, only faculty and key administrators/managers are eligible to select the ORP upon employment. • HB815 passed this session. • Effective July 1, all exempt classified staff will be able to select the ORP. • New hires only will be eligible to make the choice. • Current faculty and staff cannot switch plans. • Effective January 1, 20098, the BOR will have the authority to set the ORP employer contribution rate. The ORP rate has been uncoupled from the TRS rate.

Why? • UGA is the largest employer in Athens-Clarke County • Clarke County Schools currently have a graduation rate of 58% • In the next 15 years, nearly 50% of the UGA work force will be eligible and likely to be retired. The local hiring pool will be deficient in meeting our workforce needs. • UGA has the capacity, mission, and expertise to partner in finding solutions to this local, regional, and national education and workforce challenge.

  12. Jr. Youth Apprentice • Grades 8 - 11 • Summer placements • Youth Apprentice • Grades 11 & 12 • Academic year placements for class credit • Adopt-a-Class • UGA units (and other businesses) visit middle school classes during the school year

  13. The Jr. Youth Apprentice program started this week • A deep mentoring and learning experience • We have 22 students placed in 17 UGA departments • Two “Lunch & Learn” sessions scheduled • Pharmacy School • Admissions Office

  14. Youth Apprenticeship program • This fall, 46 high school students (11 and 12 graders) will be placed in UGA departments • We will place them in areas where they have a career interest • The students will earn class credit during their apprenticeship experience

  15. Adopt-a-Class • Approximately 17 UGA departments currently participate in the four middle schools in Athens-Clarke County • We will coordinate greater participation • We are working with external stakeholders to improve the program adding a more enhanced curriculum component to Adopt-A-Class
