WELCOME! Did you say software upgrade? We are going to be talking briefly today…
SESSION 1 Working with the SAGA Warranty Data Transfer Functions Session 1 Our primary objective in this course is to learn how to use the new WarrantyDTR functions. DTR = DATATRANSFER
LEARNING GOALS Participating in this session, you will: • Survey the WarrantyData Transfer (Warranty DTR)system highlights. • Understand the installation process for the Warranty DTR system. Participating means… • Listening Actively • Taking Notes • Being Inquisitive
SAGA & WARRANTY DTR SAGA is the new worldwide VW host system for VW and Audi warranty claims processing. • Enables a uniform, worldwide process for handling warranty claims. • Replaces the WIN mainframe-based claim processing system. • Simplifies the claims process and accelerates claim payments. DTR The Warranty Data Transfer (DTR) functions are enhancements forthe SAGA system. • Additional training on the SAGA system will augment this Warranty DTR training.
1. Warranty DTR process captures warranty claim data from closed Repair Orders in the ADP Service account. 2. User updates or validates warranty claim data via the PMT function. 3. Claim data is converted via the TRD functionand transmitted to VW / Audi. 4. Repair Order data record is created for use in reconciliation of the Warranty Credit Note payment data. WHAT IS THE DTR UPGRADE? • The Warranty DTR upgrade enables a uniform, worldwide process for handling warranty claims. • This upgrade provides an integrated warranty processing system using the Renaissance DCS and Service applications on the system.
1. Warranty claim data is captured when an RO is closed. Processing Time Data Accuracy Efficiency 2. PMT function updates and validates warranty claim data. 3. TRD function transfers claim data to VW / Audi. 4. RO data record is created for reconciliation of payment data. DTR PROCESS PROFILE The new Warranty DTR process will: • Simplify the warranty-handling process. • Help reduce data-entry errors. • Expedite warranty processing. • Improve operating efficiencies and dealer cash flow.
UPGRADE HIGHLIGHTS • New Warranty Type Codes • Warranty Credit Note Changes • No Warranty Claim Acknowledgements • Updated ALTG • VW / Audi Host Computer Process
NEW WARRANTY TYPE CODES Warranty Type Codes have been changed from WIN 2-character to SAGA 3-character format. • Note that some 2-character codes will continue to be used by VW.
WARRANTY CREDIT NOTE CHANGES The AGUS function is used to set up your accounting system for warranty credit (payment) data received from VW / Audi. Changes to the AGUS function: • The new 3-character Warranty Type Codes will now be used. • You can now have separate setups for VW and Audi General Ledger accounts.
NO WARRANTY CLAIM ACKNOWLEDGEMENTS • Previously, warranty claims sent to VW were assigned a new, sequential alphabetic line code (A, B, C, x …) as they were received. • The Claim Acknowledgement contained the original line code and the new, VW-assigned line code. • With SAGA, the line code is not changed so the Warranty Claim Acknowledgement is no longer provided by VW / Audi.
UPDATED ALTG • The Automated Labor Time Guide (ALTG) has been updated with an expanded set of labor operation codes for use with the SAGA system. • This new feature supports consistent, accurate pricing and helps to: Promote effective labor rates Increase labor gross profits Improve customer satisfaction
VW / AUDI HOST COMPUTER PROCESS • SAGA processes claims from the DMS on a four-hour cycle. • This short cycle results in faster claims processing and the ability to follow a claim through to “approved for reimbursement” in a single day.
CHECK YOUR PROGRESS Match each of these terms to the correct statement (A-E): DMS claim input VW and Audi dealerships Warranty Data Transfer (DTR) AGUS function Warranty Type Codes
PRE-INSTALLATION STOP PATCH • ADP will electronically distribute a patch to each dealer’s DMS seven days prior to the SAGA “go live” date. It will trigger automatically at 11:59 p.m. on Tuesday of the week before the “go live” date. • All ROs closed from Wednesday through Sunday will have an invalid status. Hence, each claim closed from Wednesday through Sundaymust be reviewed after the Warranty DTR software has been loaded. • The SMT, PMT, and RRC functions will be unavailable until after the new Warranty DTR software has been loaded. The TRD function will be unavailable until the Monday morning after the new software load. 2. General Operation 3. Operating Procedures
NEW DTR SOFTWARE INSTALLATION • For all existing claims in work files, Warranty Type Codes are converted from WIN 2-char. to corresponding SAGA 3-char. code format when an automatic conversion is possible. • In some cases, an automatic conversion will not be possible. • So, after the new Warranty DTR software has been loaded, you must use the PMT function to review: • Warranty Type Codes for all claims that still exist in work files • Other new and updated fields • Untransmitted warranty data files will stop the load process!
Automatic Processing POST-INSTALLATION PROCESSING • Warranty backup files will be deleted (the old format is incompatible with the SAGA changes). • Warranty Credit Note setups will be updated for both VW and Audi Warranty Type Codes. • If both VW and Audi are in same DCS account, the VW AGUS GL account setups will be copied to create a separate set of new VW and Audi setups. Manual Processing • PMT: For warranties with Warranty Type Codes that cannot be automatically converted to the SAGA 3-char. codes, enter new SAGA codes. • AGUS: For dual dealerships, update the separate posting accounts for warranty credit note processing.
