  2. Before You Start Go the the Product Booth Page on the ABR site. Read the following documents: • This Power Point presentation – the whole thing • The List of Valid Item Names for Column H • Cathy Seymour’s Excel Tips and Shortcuts PowerPoint Presentation These documents are all located on the Product Booth page on the ABR Site or the ABR Google Page. This PowerPoint, Completing Your ABR Inventory explains how to fill out your Inventory Sheet. Follow directions EXACTLY. The computer is not amused by alternative methods and will NOT upload incorrect inventories. If your inventory is not uploaded, you will not be able to sell your products in the Product Booth. You MUST use a Valid Item Name at the beginning of each cell in Column G. Cathy’s tips and shortcuts will show you how Excel can make filling out the Inventory Sheet faster and easier than you ever imagined. Really.

  3. Before You Start Continued… • The Inventory Sheet is an Excel Spreadsheet • Excel can make filling out your Inventory Sheet go quickly. Read Cathy Seymour’s Excel Tips and Shortcuts PowerPoint Presentation. • Cathy’s Excel Tips & Shortcuts is on the ABR Product Booth Page Be sure you have saved the Inventory Sheet to your own computer before you start. It is a template and you can type right onto it. Learn to Click and Drag on Cathy’s Power Point Presentation. It’s a real time saver. In Column F, type your name in the first cell, click and drag and Excel fills in the rest of the cells with your name. In Column G, fill in your ABR ID, a dash, and number 1. Click and drag and Excel fills in the cells with the ABR Code and numbers sequentially as you drag! No typing!

Before You Start Continued… • If you have your own numbering system and it is important to you that your inventory be in particular order with your numbering system, fill out Column I, Optional/Farm first. • NB. Column I is an Optional Column. You do not have to fill it out. It is strictly for your own convenience. In Column I you may list your items as you wish. Your numbers and item descriptions can be in the order you want them to be IN THIS COLUMN ONLY. Once your inventory is entered in the order you want it and according to your numbering system in Column I, go back and fill in the other columns. All other columns must be filled out exactly according to the instructions for that column.

  5. Get Your Inventory Sheet • Locate the Inventory Sheet onthe ABR Website • Save (download) it to your computer • Once it is on your computer, fill it out • DO NOT FILL IT OUT ONLINE: it MUST be saved to your computer

Farm InformationLocated at the Top of the Page • Contact Name: Ann Jones • Ranch/Business Name: XYZ Alpacas • ABR ID: XY456 • Address: 67 Main St, Avon, CO 80981 • Email Address: ajones@aol.com • Telephone: 720 660-6666 (home) 720 330-1111 (cell) • Event: Holiday Boutique • Initial that you agree ABR is not responsible for lost or stolen items First and Last Name Your Ranch/Business Name Your ARI Code: 2 letters followed by 3 numbers Street, City, State, Zip Code Your email address Home and cell phones so you can be reached at the show or at home Identify the event: GWAS, Estes, etc. Type your initials

  7. Column Afor ABR Use Only • Ignore this column • This is the computer’s column; it puts its own numbering system here

  8. Leave Column B Blank Column B-Check In For ABR Use Only Volunteers check your items in Column B as you unload them at Check-In

  9. Record the number of items that have the same ABR Code and Item Number in Column C Column CQuantity If you bring one dozen large men’s socks and list them on the same line with the same ABR Code/Item Number (Column G), you would put “12” in Column C If you bring one hat, you would put “1” in Column C

  10. Leave Column D Blank Column D – Check OutABR Use Only Volunteers check the items going home at Check-Out in Column D

  11. Column E – Number SoldFor ABR Use Only • Leave Column E blank Volunteers record the number sold in Column E at Check-Out

  12. Type your last name in Column F Column FLast Name Click and drag down to fill in as many cells as you need.

  13. In the first cell, type your ABR ID immediately followed by a dash: XY456- • Type the number‘1’: XY456-1 • Click and drag down the column as many cells as you think you need Column G ABR ID and Item Number The ABR ID-Item Number is the number that will appear on your ABR label. It is the number ABR uses to reconcile accounts after the show. It is the number by which you get paid. Do not type anything but your “ABR Code, dash, 1” in the first cell in Column G When you click and drag, your column will look like this: XY456-1 XY456-2 XY456-3 Xy456-4 If there are other numbers, symbols or letters, your inventory will not import.

Refer to Valid Item Name list • The first word in Column H must be the Valid Item Name that describes this item • Other descriptors may follow the Valid Item Name Column HValid Item NamesFollowed by Additional Descriptors Valid Item Names List is located on the ABR Product Booth Page or ABR’s Google Page Spell the Valid Item Name exactly as it appears on the list; it may have two words (eg. Home Decor) Find the Valid Item Name that most closely describes this item. You may add descriptors that more specifically describe the item AFTER the Valid Item Name Additional descriptors may include size, color, specific descriptions

This is YOUR column • If you have your own numbering system, put it in Column I • If you have other info important to you or your farm’s system, it also belongs in Column I • This is an optional column; you do NOT have to fill it out Column I Optional/Farm Info If you have your own numbering system, you may want to fill this column out first. Put your inventory in the order you want it, number it the way you want to, THEN go to Columns C, F, G, H Your inventory will be in the order you want it in this column with your numbering system. Columns C, F, G and H give ABR what it needs in the order it requires so volunteers can work effectively and efficiently.

  16. If your item is a garment, blanket or throw, record the percent of alpaca in Column J: 50% alpaca, 75% alpaca, etc. • Type the number and the % sign in each cell. Column J% Alpaca By law every garment must have a tag stating the percent of each type of fiber in that garment. ABR requires 50% alpaca. Though we recognize there are many fine socks or scarves, for instance, with low or no alpaca content, we are promoting alpaca, not socks or scarves in general. Therefore, we made the decision that any fiber product we sell must be at least half alpaca. Fiber products without content % labels will not be accepted. Exception to 50% rule: Toys that represent alpacas may or may not be alpaca fiber. They are accepted because they are representations of alpacas. A tag should describe the fiber content. Remember the Click and Drag function. You don’t have to type 95% or 75% in each cell…

  17. Type the price of the item using a ‘$’, the number of dollars, a ‘.’and cents: $10.99 Column KUnit Price The price in each cell must have a ‘$’. Remember the click and drag function...

  18. Delete the Example Line 1. Move the cursor to extreme left side of the Example Row. 2. An arrow shows up. Left click and the row should be highlighted. 3. Right click. Select “Delete” option. 4. The row should be deleted. Save.

  19. After You Have Finished • Save your completed inventory to your computer • Save it with your name and ranch name in the title • Email it as an attachment to abrfiber@yahoo.com by the due date for that event You will want that copy for your records. If your name is in the title, it makes it easier when all the inventories are being imported. Be sure to send it by the due date. Inventories received after the due date will not be accepted.
