ERIC Maintenance Assumptions • Maintenance issues relate to remotely accessed e-resources • Manual maintenance efforts must be minimized • Principal solution to access issues is via SFX • Each USMAI institution reports titles for inclusion in SFX KnowledgeBase • Implementation of SFX is phased– e-journals first, then e-books
E-resource Maintenance insures that: • Links to remote resources work • Coverage is up-to-date • All subscriptions are represented
E-resource Maintenance includes: • Synchronization of catalog with SFX KnowledgeBase • Initial conversion of titles • Ongoing upkeep of titles • URL management for titles outside SFX KnowledgeBase
E-resource Maintenance requires: • Programs to load bibliographic and holdings records to catalog • Programs to replace and delete bibliographic and holdings records • Programs to check URLs in catalog • Programs to delete URLs from catalog
Maintenance Options for E-journals Initial conversion • Extract SFX records from Knowledge Base • Match against catalog by ISSN • Single match? Any format? Add SFXWW holding or Replace network holding with SFXWW holding • Multiple match? Add SFXWW holding on specified record, or all records? • No match? E.g.,No bib or wrong format-- Create brief “stub” record with SFXWW holding (option 1) • Stub record overlaid by full record when available
Maintenance Options for E-journalsInitial conversion • Search “No Matches” in WorldCat via CatME batch (option 2) • Cataloging staff review and select from available records • Cataloging staff provide records for any titles not available in WorldCat • Load records to catalogusmai with SFXWW holding
Maintenance Options for E-journalsInitial conversion • Utilize Ex Libris MarcIt Service (option 3) • Subscribe for all titles in SFX KB? or only those not represented in catalogusmai? • Accept CONSER record for any format provided (not necessarily e-format) • Loader creates SFXWW holding on all matching records in catalogusmai • Loads MarcIt records for “No matches” and creates SFXWW holding • Titles not in CONSER database still must be cataloged
Maintenance Options for E-journalsOther issues • Other sources for bibliographic records? Loads of available record sets? • Maintain holdings on OCLC WorldCat? • Suppress/Delete URL on SFX enabled records • Enhance searching in Research Port with load of full records from catalogusmai? • Holdings summary/coverage for e-journal in SFX Service menu only • Conditional display of FindIt button facilitated in future by presence of SFXWW holding or SFX ID number in bibliographic tag 035 • E-journals not present in SFX KB, including federal documents
Maintenance Options for E-journalsOngoing • SFX KnowledgeBase updated by EL monthly • Local updates to SFX KB by E-content Team • Changes include: • Title additions • Title deletions • Coverage changes • ITD automated process compares EL update with Local updates to add/delete records and holdings in catalogusmai
Maintenance Options for Other E-resources • For e-books in SFX KB, identify record sets and load e-books records with URL stripped • Add SFXWW holding to existing ISBN match in catalogusmai & Load set record for “No matches”? • Load separate records for e-version in record set with SFXWW holding? • Depend on URL checker and “856 reader” to make SFX menu work for 60K+ URLs in catalogusmai?
ERIC Maintenance Next Steps • Update institutional SFX KBs • Select e-journal conversion option • Prepare loader to match option • Load records and holdings • Prepare e-book loader, then load record sets • Suppress/delete URLs in SFX enabled records • Identify and remedy problems with remaining URLs in catalogusmai • Offer URLs in FindIt menu for non-SFX enabled records
