How to Introduce Naxos Digital Library Titles to LU OPAC Patrick LO & Joe CHOW Lingnan University Library (5th HKIUG Meeting 1st Dec. 2004)
INTRODUCTION • In 2004, Lingnan University Library launched 2 major online educational products : 1. Naxos Music Library (NML) – 4,676 titles 2. Naxos Spoken Word Library (NSWL) – 297 titles • LU’s Cataloguing & Systems Sections worked together to develop local software -- convert NSWL & NMLtitles intoMARC, so that these titles can be inter-searchable with our collections to enable One-Stop searching.
Why is Naxos Called Naxos? • “Naxos” is a beautiful Greek Island. • Also source of Greek mythology: “Naxos” - legendary goddess ; “Ariadne” - abandoned by lover Theseus after being seduced with music. • In 1912, German composer, Richard Strauss made this legend into opera, “Ariadne auf Naxos”. • Provides fitting metaphor for the name of budget CD label “NAXOS”.
Naxos Music Ltd. • Transnational classical music company founded in HK in 1987. • A sub-label of HK - based H.N.H. International Music Ltd. • H.N.H. International Music Ltd. - largest independent record distributors in Asia. • Business of AudioBooks - started in 1994 & received many international awards.
Naxos Digital Libraries • Advantages: • significant enrichment of LU’s collection in terms of size & coverage • without time & location limits, when compared with other printed formats.
Other advantages: • Saves time, money & staff time for maintenance. • Saves storage space. • Provides cover arts, text & CD cover information. • Allows on-site, remote access & multiple, simultaneous access.
MARC CONVERSION PROJECT In-house Developed Software Purpose of Software: convert NSWL & NML titles from excel files (supplied by Naxos Digital Services Ltd.) to MARC records automatically. • Project began in Sept. 2004.
Procedures & Workflow for Converting NSWL Titles into MARC: • Collect all 297 titles inside NSWL in Excel file from Naxos Digital Services Ltd. 2. Design software customization -- to specify how Excel file data should be read & processed by In-House Software.
In-House Software Programme - Screenshot • Convert Excel-file data to individual MARC records by using MARC-MAKER.
MARC records are automatically created by adding following main & sub-fields, e.g.: • field (007) for computer files • field (008) to specify fixed-length data elements--general information • field (028) – Publication Number as: <$aNA222812$bNaxos Digital Services Ltd> • field (006) for computer files
field (040) – <$aHkLN>, to specify LU is original cataloguing agency. • Author information in beginning of NSWL list is converted to field (100), personal name main entry, e.g., from <AUSTEN> to <100_ 1_ $aAUSTEN>. • field (245) formain title entry, based on NSWL title information, & add GMD in subfield ($h) as <$h[electronic resource]> . • field (260) – (imprint) to specify publication, distribution, as <aHong Kong :$bNaxos Digital Services Ltd.,$c[2004]>. • field (500) for “Streaming audio” note.
field (506) “Access restricted to Lingnan University users” note. • field (511), with 1st indicator = (0) - “Performers” note, e.g.:<Performers: Boyd, Carole / Keeble, Jonathan / Moffatt>, etc. • field (538) “Minimum system requirements: MS Windows 98SE/2000/XP with MS IE 6.0 and Media Player 9.0” note. • additional field (538) “Mode of Access: World Wide Web browser” note. • field (650), with 2nd indicator = (0), with LCSH as: <$aAudiobooks$xComputer network resources>.
field (710),with 1st indicator = (0), with added entry for corporate name as: <$aNaxos Digital Services>. • field (773), with 1st indicator = (0), with host item entry as:<$tNaxos Spoken Word Library>. • field (856), with 1st & 2nd indicators = (40), & with URL as: <$zConnect to Naxos Spoken Word Library|uhttp:// www.library.ln.edu.hk/cgi-bin/ luaccess?dbname=naxosspokenword>. • field (997) as <$anaxos>, to help library staff identify these records are from NSWL.
Upon completion, MARC records were uploaded onto INNOPAC System as batch. • Perform authority control on authors in fields (100) & (700), e.g., to update: • $aAUSTEN to < $aAusten, Jane,$d1775-1817> • $aMOZART to < $aMozart, Wolfgang Amadeus,$d1756-1791> • $aWILDE to <$aWilde, Oscar,$d1854-1900>
COMPARSION If All 297 NSWL titles had been manually catalogued:
Naxos Music Library (2nd Phase of Project) • Upon successful completion of NSWL titles, we began to work on the NML titles in Nov. 2004. • Compared with NSWL, NML titles are more complicated, as single CD title could involve many different performers, playing different musical instruments. • NML titles -- in many different languages , German, Italian, French, German, English, Russian, & even romanized Japanese & Chinese, etc.
Esp. for opera recordings -- on top of the composers, soloists, there is also information on different ensemble groups, e.g., orchestras, chamber groups, & choruses, all coming from different places, etc. • Also, the compilation CDs, e.g., “A to Z of Opera” OR “WORLD Music for Kids 8” – they come with many audio tracks, featuring works of many different composers, & instrumentals, etc.
In order to avoid intensive labour input, we used another 4 days to fine tune the readily developed software programme to work on the NML titles.
NML MARC CONVERSION PROCEDURE • MARC Record Requirements – basically same as NSWL, & only differences are:
add field (511) – to specify this particular CD features <$aWORKS OF: Beethoven, Ludwig van / Bellini, Vincenzo / Bizet, Georges / Handel, George Frideric / Mozart, Wolfgang Amadeus / Puccini, Giacomo>, etc. • field (440) for different series, e.g., <$a Naxos Light Classics CD> OR <$aNaxos Blues Legends>, etc. • Field (700) & (710) – to give added entries for both composers & performers listed in field (511). • So that NML’s performers, composers, series titles can be searchable under AUTHOR, TITLE & KEYWORD, under OPAC
Field (650) – as< $aMusic$xComputer network resources> • No individual audio track titles added to MARC records – as users would be crowded with too much information. • In addition, most users do not search by titles of individual opera arias OR individual movements of a musical work – even for professional musicians or musicologists. • Beside, current URL setup in field (856) allows users to access individual CDs directly from OPAC. If users wish to learn more about a particular recording, they could click on the hyper link, “Connect to Naxos Music Library” – to read more about it while listening. • To perform authority control on individual major composers, & performers, etc.
Naxos Music Library: Total Manpower & Staff Time Involved in the Project
If all 4,676 NML titles were to be catalogued individually: • 4,676 titles x 25 min. (per title without individual audio track info.) • Total 289 working days for 1 person to complete the project. • Upon the project, NML & NSWL titles are searchable under AUTHOR, TITLE, KEYWORD, under OPAC.
CONCLUSION of Naxos MARC Project ADVANTAGES: • Eliminated manual input time, intensive labour & human errors. • Enabled One-Stop & comprehensive searching, as both Naxos Digital Libraries & LU’s WebPAC have been integrated together.
Combining education with serious entertainment, both NSWL & NML offer additional resources that dramatically expand what traditional libraries could offer in terms of reference, collection development, education, listening, leisure, as well as entertainments, etc. • Both NSWL & NML interfaces are highly user-friendly – encourage students to self-learning, without time & location limits.
Future Developments • HNH & Naxos release about 200 new titles / year. More titles from labels will be available later, as HNH Intel. Ltd. also distribute other minor European labels. • In future, it is agreed that Naxos will provide title list of new additions to LU in December each year, provided we continue to subscribe to the NML & NSWL. • In order words, more MARC records will be added to LU’s WebPAC.
Naxos is also planning to add video-clips of live concert & opera performances in VOD format to the digital library in near future. • Naxos will 1st experiment with the 3-min. video-clips, if successful, followed by full/entire concert/opera performance in VOD. • If enough information is available, LU also plans to convert these VOD titles into MARC.
Future studies: • Highlight Naxos online library services’ unique characteristics via compare & contrast with other online audio/music library services, e.g., Classical.com. • Find out why students prefer NSWL instead of printed item of same title.
Find out what types of information student need for their assignments & why they prefer to use NSWL & NML instead of other channel, e.g. Internet, etc. • Find out to what degree NSWL’s use has been increased, after MARC records added to WebPAC. • Interview students - find out their comments on NML & NSWL.
