Proposed Payroll System Law Offices of Frank Cassiano
Facts about the office • Frank Cassiano is the only lawyer in this office • He has 5 employees including himself • The payroll is done by hand • Each employee fills in their own timesheet • The paralegal figures each person’s pay, then handwrites each check • The summaries for each employee are saved in a file in the office
Why the Law Offices of Frank Cassiano • I have worked at this law office for over a year • I know first hand about the day to day business operations • The handwritten payroll is time consuming and unorganized • I understand what the office needs and wants because I have contact with them everyday • I have discussed the issue with the paralegal Bonnie Pierce who has expressed her needs and wants for the new proposed project.
Hand System to Computer Payroll by hand Proposed system Employees sign in with personal ID on proposed system and input hours on the calender for that particular month. Paralegal will then sign-in on administrator account and prepare payroll Each employee’s check can be printed Proposed system will automatically produce a summary page for each employee All information will be saved electronically henceforth • Hours worked documented by each employee on a sheet of paper • These hours are then calculated by hand according to pay • Each employee is given a prepared summary sheet of pay and tax deductions • Each check is handwritten • Each check and summary sheet is copied together and stored in a file
What the Law Office Wants • To have payroll done on one program • To have everything electronic including storage • To access year to date information on each employee. ( ie., employee Joe Shmoe’s pay amounts for every month for one year including average pay per month, average tax deduction, average hours per month, sick days used, and vacation days used. ) • To have personal sign-on screens for each employee to access their own pay information. • To allow only an administrator to view, manipulate and print all employees’ information and schedules. • To be able to print checks from computer program instead of hand writing. • To keep up with pay periods and overtime for each individual employee for each separate week. • To have a calendar option where part-time employees can put in their work schedule. • All these wants and needs were compiled from Bonnie Pierce, Paralegal to Frank Cassiano, she can be reached at 252-752-1000
Basic Features of the Proposal • The first screen will be a login page which will be the same for every user • For non-administrative users the main dispay screen will have different options where they can choose to input their most recent pay periods hours worked, choose to print old payroll summaries, update personal information, view average work hours on a monthly basis, view current count of vacation days and sick days, and be able to get all year to date information summarized and printed. • The administrators can have access to all employees files and information
