Understanding Events When an event related to a patient’s surgery is documented, an icon displays for other users to see through Case Tracking. Setting events allows other users to see the current stage (or status) of a surgical case.
The visible icons that you see and the ability to set certain events is based on your department role and your security. Understanding Events Continued • Events can be set via two methods: • A user manually sets an event via case-tracking. • The system automatically adds an event (based on a rule) because of documentation that has been completed for the case by OR staff (i.e. when the surgery start time is documented in IntraOperative Documentation, a rule triggers the surgery started icon to display under the status column in Case Tracking.) This type of documentation will display with a lock icon, indicating that it can only be changed or modified through IntraOperative Documentation.
There are many event icons in SurgiNet Case Tracking. To determine the meaning of an icon, refer to the Case Tracking manual accessible from KDnet. Or, from within SurgiNet double click on the icon. The Set Events window will open. On the right side, all events that have been set for the patient are displayed. The description of the icons that have been set is listed next to the icon. If your access does not allow you to set a certain event type (i.e. OR Patient In, Surgery Start, etc.) then these events will not display for you. NOTE: You can only set events for cases that have been checked in. Event Icons
Setting Events Based on your security, you may be able to set events in the system. To set an event, complete the following steps: • From within Case Tracking, right-click the case for which you want to set events and select Set Events from the context menu.
The Set Events window opens, displaying all events already set for the case.
However, If your access does not allow you to set a certain event type (i.e. OR Patient In, Surgery Start, etc.) then these events will not display for you. The Set Events window will only display events that you have the ability to set, based on your role and your security.
Select the Event Category by clicking the appropriate button, such as Spec, Combined Instruction or S2C2 on the left side of the window.
The event will disappear from the event list on the left and display under documented events for the patient on the right.
The documented event will appear under the applicable column on the Case Tracking window.
Modifying Events Based on your security, you may be able to set events in the system. You can modify events that have been previously set in the system in order to ensure the accuracy of case information. To modify an event, complete the following steps: • From within the Set Events window in Case Tracking, right-click on the event that you wish to make changes on and select Modify Event.
Modifying Events The Modify Events window will open. • Make changes to the date or time by entering information in the applicable fields, as necessary. You can also make changes by dragging the event icon (shown above) to the correct time. • Click OK to apply your changes and update the event. Or, click cancel to close the window without applying your changes.
Tips and Tricks: If you are not able to modify the selected event, the Modify Event option will be grayed out. This occurs when you are unable to make changes to an event because it was documented via IntraOperative Documentation. This type of documentation will display with a lock icon, indicating that it can only be changed or modified through IntraOperative Documentation.
Removing Events In a situation where an event was added in error through Case Tracking, it can be removed. You will not be able to remove events that are grayed out. This occurs because an event was documented via IntraOperative Documentation. This type of documentation will display with a lock icon, indicating that it can only be removed or modified through IntraOperative Documentation. Complete the following steps to remove an event that is associated with a case: • From the Case Tracking Set Events window, select the event to be removed by right-clicking on it. • Click Remove Event from the toolbar to remove the event. The event will no longer display under the patient’s documented events. • Click OK to close the Set Events window.
