donor.com community conference E-Receipting diane kuehl donor.com 2008 community conference
donor.com community conference Overview • Supports both TEXT and HTML formatted receipts • Same merge fields are available as used for paper receipts • Generated and delivered as a normal part of Produce Receipts (no extra steps required) • Can be ‘segment-specific’ for different messages or templates per segment • A report is generated so you know who received electronic receipts
donor.com community conference Design Your Templates • Design your TEXT and HTML templates for the e-receipt • donor.com can provide samples or help you in the design • Run Report 3070 to find out the merge field names (may differ from what you use for paper receipts) • Templates will eventually be uploaded to your “rcptrgt/templates” folder • Naming convention is: • EMAIL-RECEIPT-XX-HTML.txt • EMAIL-RECEIPT-XX-TEXT.txt
donor.com community conference Global Config Settings • Provide donor.com with some global settings used in the configuration for: • Sender name • Sender email address • Reply to address • Notify address (gets the end of job report) • Subject line • You can have unique settings for different e-receipt segments (e.g. different subject line)
donor.com community conference Configure Receipt Profile • Use Receipt Custom Output Profile to add the donor name, email address, and email format to the data that is generated by Segment Receipts • Use Custom Output Spec File Maintenance to define the extra fields • Not limited to just email-related fields • Update your “paper receipts” variables to account for these new fields too! (ie “vars.rcp”) • You may also need to update any “pre-filters” that manipulate and/or add to your receipt data / merge fields
donor.com community conference Prepare Control File • Create a control file for each receipt segment that will get electronic receipts • Specify ‘rcp2email’ as the “Custom Merge Routine” and “file” as the transfer method
donor.com community conference Revise Receipt Segmentation Plan • Use Receipt Segmentation Maintenance to separate e-receipts from paper receipts • Look for donors with an EML record • Check to see if they have expressed a preference for receipts by email (not required, but recommended) • Don’t assume just because you have an email address for them that they prefer receipts by email • May need to plan a “transition” strategy that gives donors a chance to communicate their preference • Assign those receiving e-receipts to unique segments, distinct from paper receipts
donor.com community conference What about pre-filters? • If pre-filters simply populate existing fields in the data files with new values, they should work just fine. • If pre-filters ADD data to the LSTrcp data files, then they will need to be revised and plans for how to integrate cleanly with both paper and e-receipts laid out
donor.com community conference Sample: Text Version Notice the use of a motivation in the link so that you can track “give agains” via your web site
