Extracting Data From Medianet • There are two ways to extract information from the database: • Using Display,Lookup • Using Report,Generate or Report,Usual • Considerations when deciding which method to use: • Does lookup supply the information required? • Do you need the data sorted in a certain way? • Do you need a hard copy printout? • When to automate: • How often are you asked for this information? • Do you need it daily, weekly, monthly, yearly? • Do you need it occasionally?
Extracting Data from Medianet • Being able to locate database information empowers you to: • Make timely, informed, effective decisions. • Efficiently answer questions. • In order to locate database information, we must first know how it is stored within Medianet.
TITLE MEDIA MEDIA PRINT Database Structure: Lists and Records • The database is comprised of a number of lists: • title • media • print, etc. • Each list contains multiple records: • the title list contains info on many titles • the print list contains info on many prints

Database Structure: List Relationships • Lists are connected by a network relationship where all lists are headers and/or sublists to other lists. • Titles are headers to Media which in turn are headers to Prints.

Media Stuff Quick Catalogs • Generate for proofing data entry of new materials. • Place as reference materials in the media center. • Support material for walk-in clients. • Distribute to school libraries to promote your collection. • Create a corresponding mediagraphy on your web page. • Respond to client queries for a listing of materials. • We also recommend encouraging teachers to use the web to generate, print, and save their own lists.
Quick Catalog: An Exercise • The purpose: • Generate an alphabetic catalog of just VHS titles in your database that pertain to the subject of: • Art History Let’s assume you keep various types of inventory (VHS, EQ, 16mm, kits). Let’s also assume you have various subject areas about art history that you need to combine into this one catalog.
Conclusions Based on Assumptions Since you need only some of the subject areas in your database, you will have to look them up and choose the appropriate ones. Since you only want to include VHS titles in your catalog, you will need to use the filter to weed out titles with formats other than VHS. Finally, since you are generating an alphabetic catalog of a small sub-set of titles, you will not need a catalog index.
