Student Employee Responsibilities Students are expected to: • Search and chose their own jobs. • Work and perform at an acceptable level. • Communicate with supervisors (workload problems, absences, etc.) • Use the Student Employment Office as a resource to answer questions about on-campus employment. • Notify supervisor of changes in student status (withdrawing from classes, academic problems, etc.)
Hiring Department Responsibilities • Set expectations and train students to do the required work. • Verify Student’s enrollment and employment paperwork • Complete paperwork in a timely matter • Be open to students and encourage them to communicate and ask questions. • Monitor work hours to insure students do not work over their allotted hours.
What Supervisor’s Should Know • Student workers are students first and employees second. • Academic work takes priority over any job (s). • Sensitivity to the academic calendar in scheduling students is necessary. • Student workers should be viewed under the same employment laws as permanent University employees. • Prior to starting work, every student has to complete an employment packet (I-9).

Appointment Forms • Work study Students, will receive their appointment form, during orientation. • Student Temporary Wage forms are found online and should be completed by the supervisor or departmental coordinator. • Students hired for a graduate assistantship, must sign their contract and return it to the Graduate School, before their appointment form (AA-29) can be processed.
Employment Forms (I-9) • In compliance with Federal Law • All students must complete an employment packet prior to beginning employment. • International students (F-1, J-1 visa’s) must complete their employment packet in the International Student Scholar Office (HHS bldg #202).
Required Documents • To complete the Employment Documents, students must bring the following: Social Security Card, Birth Certificate, Permanent Resident Card, or US Passport. • International Students, that do not have a social security card must apply for one, once they have been hired. • The Hiring Official is responsible for emailing the Student Employment Office, when they hire an International Student, without a Social.
Employment Verification Card • These cards specify that a student has completed the employment paperwork and must be presented to the employer upon request. • Yellow cards, provided by the Student Employment Office, are given to US Citizens and Permanent (and pending) Residents. • Blue cards, provided by the International Student Office, are issued to students on a F-1 or J-1 visa. • Federal Work Study students, will have this information on their Work Study Appointment form.
Timecards • Federal Work Study students, timecards have WS in bottom right hand corner. • Student Temporary Wage, timecards have ST in bottom right hand corner. • Departmental supervisors must, check for accuracy, they must be signed by both employee and supervisor, and submit them to payroll. • In most cases, Graduate Assistants, do not complete timecards. • Department’s Fund/Index number (s) must be on timecard and they must match the Fund/Index number on the appointment form.
Paychecks • Work Study and Temporary Wage students are paid on the 15th of the following month, in which they worked. • Graduate Assistants are paid on the last business day of each month they worked. • Student Temporary workers on a monthly stipend are paid on the last business day of each month. • Students will receive their check from their supervisor. It is preferred that student’s sign up for direct deposit.
Changes • If student withdraws from school, they must be terminated immediately. • If possible they can be transferred to a non-student assignment to remain employed. • Rate changes must be effective the first day of the month the change is being requested. • Once a Work Study Student has exhausted their award funds, they have to stop working or switched to a Student Temporary Wage assignment.
