Accelerator Readiness Reviews (ARR) – Scope • ARR processes are required for simultaneous operation of: • LCLS using the existing S-band copper linac and transport lines • LCLS-II accelerator systems • SXR and HXR beamlines • X-ray experimental areas • LCLS-II accelerator systems present new operational safety requirements • cryogenic liquids and gases, superconducting RF systems, hazardous energy control, lasers, oxygen deficiency hazards, pressure safety, high average power electron beams and photon beams, and noise

ARR Process • LCLSII-1.1-PM-0520 “LCLS-II Readiness Review Process” documents plans to comply with DOE requirements: • O 420.2.C “Safety of Accelerator Facilities” • G 420.2-1A “Accelerator Facility Safety Implementation Guide” • Leading to reviews: • Accelerator Readiness Review (ARR) • Equipment Readiness Review (ERR) • Instrument Readiness Review (IRR) • The LCLS-II Project also conducts Systems Readiness Reviews (SRR) prior to energizing and commissioning of new equipment and sub-systems

ARR Processes is Integrated with SLAC Operations Preparations for LCLS-II • LCLS-II Pre Accelerator Readiness Review 420.2C Gap Analysis addressed 6 main areas: • SAD & ASE • USI Process • Roles and Responsibilities • WPC for Credited Controls including safety systems and shielding • Conduct of Accelerator Operations • Contractor Assurance • Recommendations have been grouped into 5 broad categories, responses assigned and tracked in groups: • Update SAD/ASE • “Conduct of Operations at Accelerator Facilities” with updated Procedures and Directives • Staff Communication/Training • Accelerator Operations/Configuration Management • ES&H

Readiness Reviews – LCLS-II Team Preparations (1) • Preparations for reviews follow a “bottom-up” process defined in LCLSII-1.1-PM-0520 “LCLS-II Readiness Review Process” • The project and accelerator operations identify leads responsible for equipment and systems • These leads perform the work and produce the documentation demonstrating readiness for their area of responsibility • Provides templates for • Documentation summary • Presentation • The LCLS-II project also conducts non-ARR reviews that assist in readiness • Technical Readiness Review • Project Readiness Review (or Director’s Review)

Readiness Reviews – LCLS-II Team Preparations (2) • Project Systems Engineers, commissioning team, and operations team produce “bottom-up” documentation, and present to the whole team: • Scope • Design and review documentation • Checkout procedures and lists • Hazards and their mitigations • Authorization documents • QA • Configuration Control • Operations procedures • Training requirements • Commissioning plans • Identify any work remaining before starting commissioning Pillar II Hardware and Physical Plant Readiness Pillar I Documentation and Procedures Pillar III Personnel Readiness • Weekly meetings • Include installation, commissioning, transition to operations, and operations team leads

ARR Process – Modular Approach (1) •  • Early Injector Commissioning • 1 MeV electron beam from gun to temporary dump • RGD (will be treated as an ARR for preparedness, and will engage the ARR Committee) • Cryoplant and Cryogenic Distribution System including Cryomodules • Two 2 K helium refrigerators and associated ancillary equipment • Cryogenic helium distribution from the Cryoplant and through the Cryomodules returning to the Cryoplant • SRRs • ERR • LCLS S-band Copper Linac Beam Transport • 14 GeV Cu-linac beam from the new LCLS-II kicker to the tune-up dump upstream of the HXR undulator • ARR • LCLS-II Superconducting Linac and Transport Lines • 4 GeV beam from Gun B through the LCLS-II electron beam systems to the tune-up dump upstream of the HXR undulator and the tune-up dump upstream of the SXR undulator • ARR

ARR Process – Modular Approach (2) • Hard X-ray (HXR) Undulator and Photon Beam Operations • 14 GeV Cu-linac beam from the tune-up dump upstream of the HXR undulator through the HXR undulator to the beam dump • 4 GeV beam from the tune-up dump upstream of the HXR undulator through the HXR undulator to the beam dump • Photon production and transportation to hutches • ARR for electron beam from both Cu linac and from SCRF linac, and for photon beam to stoppers in each case • IRR for photon beam from stoppers to hutches • Soft X-ray (SXR)Undulator and Photon Beam Operations • 4 GeV beam from the tune-up dump upstream of the SXR undulator through the SXR undulator to the dump • Photon production and transportation to hutches • ARR for electron beam, and photon beam to stoppers • IRR for photon beam from stoppers to hutches • Routine Operations • Simultaneous operations of the LCLS and LCLS-II • HXR and SXR undulators • ARR

Timeline • ARRs are planned to be held after ~90% installation is complete and major systems integration can be verified • Systems readiness reviews assess major sub-systems, prior to the ARR or ERR • ERR and IRR committees will be formed from the ARR Committee members plus subject matter experts • A Project Readiness Review is planned be held prior to an ARR, ERR, or IRR

ARR Team • Ian Evans, John Schmerge coordinate LCLS-II and SLAC ARR activities • Integrated and coordinated: • between LCLS-II Project and Accelerator Directorate • with installation, commissioning, and transition to operations • An ARR Committee has been formed • Frank Kornegay (SNS retired - chair) • Bob May (JLAB) • Harry Fanning (JLAB) • Susana Reyes (LBNL) • Chuck Schaeffer (BNL) • Stuart Birch (ESS) • Frank Kornegay is contracted by the LCLS-II Project as ARR Committee Chair to manage the ARR committee, and to chair and manage the ERR and IRR committees

Early Injector Commissioning (EIC) Readiness Review • The LCLS-II injector will be the first systems commissioned • EIC has an approved exemption from the DOE O420.2C, “Safety of Accelerator Facilities” based on the classification of EIC equipment and operation as a Radiation Generating Device (RGD) • Following the SLAC Radiation Generating Devices Program Manual SLAC-I-760-2A30C-015 (SLAC RPFO Program Manual FO #035 Rev 4) under the SLAC Radiation Protection Program (RPP) requirements • Memo approving radiological safety aspects of EIC operation and classification of the EIC as a RGD consistent with the DOE 420.2.c, Section 3.c and 3.c.1.(b) exemption • Nevertheless LCLS-II used the ARR process described to introduce the team and the committee to the process • Summary documentation for all aspects of the commissioning • Presentations for all aspects of the commissioning • Scheduled presentations for the most critical content • Time allocated for ARR Committee follow up in any area • Team was prepared to present and discuss on all topics

ARR Committee Has Endorsed The LCLS-II Approach • Meeting held April 24-26, 2018 • 2 days Early Injector Commissioning Readiness Review • 1 day LCLS-II ARR strategy • ARR Committee approved EIC readiness following completion of installation and documentation • ARR Committee endorsed the LCLS-II approach to the ARR process

Next: Cryo Systems Readiness Reviews • Systems Readiness Reviews (SRR) will be held for Cryo Systems sub-systems prior to their energization, and vendor acceptance tests • Auxiliaries and gas systems • Warm compressors • 4.5 K Cold Box • 2 K Cold Box • These reviews follow the successful FRIB example, and will be managed by the LCLS-II Project • An Equipment Readiness Review (ERR), under oversight of the LCLS-II ARR Committee, will be held after completion of the above and prior to operation of the integrated CP and CDS/Linac • Linaccooldown: requires CP, CDS, CMs • Similar readiness reviews will be held for other major systems, ODH, PPS, etc. prior to an ARR
