  3. The orders mode is used to enter orders into the system. You can also use this mode to create bibliographic, item, order, or check-in records. The send mode is used to prepare purchase orders, which can be sent to vendors either electronically or printed and sent via regular mail. In this mode you can also print claim letters that have been queued. The Rapid Receive mode has two sub-modes. Rapid Update is used to receive a group of ordered items and update the corresponding order records. Receive and Add Items is used to receive orders and create item records for those orders. The Recommend mode lets you review and order recommended titles that patrons have entered through the Web OPAC .You can also set up selectors — patrons who make recommendations on a regular basis and whose recommended titles are associated with a particular fund and location. The Invoice mode is used toenter, maintain,andpostinvoices. The Import Invoices mode lets you import vendor invoices and load the associated MARC records. The Funds mode is used to maintain the library's table of fund codes andview fund reports. TheFiscal Closemode allows you to run your annual fiscal close process.

  4. The Vendors mode is used to maintain the library's table of vendor codes. The Selection List mode allows you to review, add copies for, and order titles under consideration. TheStatisticsmode allows you to create a wide range of statistical reports about your Millennium database. TheVendor Statisticsmode allows you to generate Activity reports that track vendor activity and Performance reports that track vendor performance for fulfilling a group of orders. The Status Reports mode allows you to retrieve and process EDIFACT order responses.

  7. New • Allows you to create new records. • Limit • Allows you to reduce the number of records retrieved by specifying further search criteria. This option becomes enabled when a browse search has been performed. • View • Displays the record or file in view-only mode. • Edit • Displays the selected • record for editing.

  8. Summary Summary lists all the records attached to a bib. Browse Browse returns you to the initial search screen. Print Print allows you to print what is on the screen. Close Close eliminates the mode you are in.

  11. Data Elements Entries in the Inventory Express table consist of the following elements. The elements supplied by Innovative for pre-installed vendor links are noted below. VENDOR Name of the vendor that the system displays when offering the Inventory Express option. For pre-installed links, the library can edit the default name supplied by Innovative. USERNAME The username for your account with the vendor. Contact your vendor to setup a username. PASSWORD The password for your account with the vendor. Contact your vendor to setup a password. VENDOR CODE Not currently used by the system. WSDL The URL to the web services definition file. Innovative supplies this data element for pre-installed vendor links. For generic linking setup, contact the vendor for this information. WS2BIB Specifies an internal file used by Millennium to convert the incoming data into bibliographic records. Innovative supplies this data element for pre-installed vendor links. For the generic linking setup, enter gen. Inventory ExpressYou will need to set this up with the following vendors you currently have accounts with: B&T, BWI, Ingram, Midwest

  12. Claim CyclesThe claim cycle code tells the system when a vendor's orders become overdue and need to be claimed.

  13. External FundsIn the External Fund Code fileyour library enters the full name or code of each parent agency (external) fund and you assign a three digit code to represent that external fund

  15. External Funds An External Fund could represent how your business office breaks down your budget. Example: Print Materials $10,000. Media $15,000. Subscriptions $18,000.

  23. FUNDS • Fund codes are similar to location codes Example: (codes must be 5 characters) bal00 would represent or baanf Baldwin Adult Non-Fiction ba117 or bajdv Baldwin Juvenile New DVD

  24. Each Fund Code can be assigned an External Fund Code • For Example: Adult Print Materials = External Fund Code 0 Juvenile Media = External Fund Code 7 • So bal00 or baanf would have an external fund code of 0 • And ba117 or bajdv would have an external fund code of 7

  25. In this example the fund name is Adult Fiction, the external code is 0, or Adult Books.

  26. Creating Fund Hierarchies Click on New Group Highlight Enter Group Name

  27. Add Funds To Group Click On Put Highlight Group

  28. In the "Insert Fund" dialog box locate, point at and double-click on the desired fund. Repeat as necessary.When finished click on the "Done" button.

  39. Click Update

To order items, you can use Millennium Acquisitions to create new order records and add them to a new or existing bibliographic record, or you can import records to your database using third-party software (B&T Link, B&T Title Source II, BWI, etc). New Orders For Existing Bibs New Orders For New Bibs Search Your Catalog Key in a New Bib Record Search Your Catalog Use Bib Utility B&T, BWI Edit the Existing Bib Record Upload Orders To Innovative Key in a New Order Record
