2. Shipper Scheduler Roles & Responsibilities The DOE Federal Program Manager (PM) authorizes use of TRANSCOM.
Upon authorization from the DOE PM, the TCC Operations Manager (or designee) will coordinate to obtain necessary information and establish a shipment route and campaign in TRANSCOM.
3. Shipper Scheduler Roles & Responsibilities (cont.) It is the responsibility of the Shipper or Designated User to schedule shipments in TRANSCOM.
It is the responsibility of the TCC and the DOE Federal Program Manager to provide Shippers or Designated Users with the appropriate training prior to the inception of a shipment.

A Bill of Lading (BOL) or Manifest must be faxed to TCC from the shipper prior to departure
In an emergency the TCC Operations Manager (or designee) will schedule a shipment and input BOL information into TRANSCOM on behalf of the shipper/designated user. Prior coordination required!!

Bill of Lading Number (Shipment ID #) Ensure that the Bill of Lading number (Shipment ID #) is entered correctly prior to saving. This field cannot be edited after saving
Number of Packages
Designated User
Departure Date & Time (mm/dd/yy<space>hhmm)
Scheduled Arrival Date and Time (mm/dd/yy<space>hhmm)
Type of shipment – CH or RH (CH is default)
HRCQ if applicable
Details (any comments pertaining to the shipment)
6. How to schedule a shipment Enter your shipment data
Go to “Scheduler” from the Main Menu
Click on “Add Shipment” – Must click on prior to adding shipment information or shipment will not save. The Designated User will populate at this time.
7. How to schedule a shipment Enter all pertinent information into the form, this information should be obtained from the Bill of Lading. (Use the TAB button to maneuver in the system)
Reminder: The BOL# cannot be changed after saving. Please contact TCC if you save the number and it is wrong. TCC will archive the shipment and you will need to re-enter the shipment with the correct BOL number.
10. Highlight the shipment just scheduled
Go to Access BOL
11. TRANSCOM Access BOL Shipment ID will already be displayed – confirm correct
Confirm Site Code is correct (using List of Values-down arrow)

Select OK to save record and return to the BOL screen

When complete, click on “Save Icon” on tool bar

22. How to schedule a shipment using a template Go to Scheduler on main menu
Select Add Shipment button (the DU will populate)
Select Create from Template button

Select a template id from the drop down list of values

Select create BOL from Template
25. How to schedule a shipment using a template Enter specific information regarding your shipment, such as departure date/time etc.
Confirm Origin and Destination are correct.
Select Carrier.
26. How to schedule a shipment using a template When complete, click on “Save Icon” to save your record.
27. Go to the Shipments – select shipment you just scheduled.
