Important Info to Remember • SMaRT = Specimen Management Routing and Tracking • New Functionality within the GUI format of Misys. • Uses SPOTs (Specimen Points of Tracking) to route specimens using CID # instead of Accn # • Helps to locate spec. quickly and view additional instructions if needed.
More Semi-pertinent Info • SMaRT routes CIDs to facility, workbench, or instrument for testing or transport. • Routes problems to a problem SPOT for resolution. • SMaRT affects Order, Receive, Credit, Caching and Transport. • Does not replace any testing or test interfaces. • SMaRT is not the same as SmartTerm • SmartTerm will replace QVTTerm or commonly known as Misys A/B
Understanding CIDs • SMaRT assigns 8 digit CIDs specfic to each tube or specimen collected. • Multiple CIDs can be tied to one Acc # • CIDs can be used for searching. • CID info appears on labels, worksheets, and pending logs (which will be 33% longer). • CIDs recycle every 30 days.

Changes to Order Entry • All container types received must be entered. • Containers cannot be added or changed once the orders have routed. • Mistakes should be credited and reordered. Proceed to exercises
Exercise #1 (Ordering and Tube Types) • Collection Time – (-5) • Phleb Code -- 07 • Workload Code– NVP • Order BMP, CBCA, PT • Assign and Record Accn # and save • Enter Tube Types (use GO, LA, and BA) • Route
Exercise #2 • Collect Time – (-10) • Phleb Code -- 07 • Workload Code-- NVP • Order a CBCA, RCX*, and ANACX* • Assign and Record Accn # and save • Enter Container Codes (LA and MC X 2) • Route • Enter WO in SDES fields • Save
Exercise #3 • Collect Time (in the past) • Enter CBKFAX in order comment • Phleb Code – 07 • Workload -- NVP • Order CSFCX and RCSF • Assign Record Accn # and save • Enter Container Types (CA, CB, CC, CD) • Route • Press OK key on callback box
ORM- ReceivingNow orders (Phleb) • Phlebotomist Code is mandatory. Enter Tech code or 07 for non-lab employee. • Watch out for the “feature.” • Preferred cont. types auto-fill, but only receive what you have. Proceed to Exercises
Exercise #1 (“Now” Orders) • Collect time– N • Order a PT, TSHO, and BMPthen save • In ORM, enter receive date and time (Both must be changed to a past time if necessary) • Phleb Code – 07 • Workload Code – NVP • Number of Coll. – 1 • Change container to 1 SST (RN) and leave BA • Save
Exercise #2 • Do a “NOW” order for a BMP, ALC, and HCG • Receive in ORM with the same phleb and workload codes (07 and NVP) • Only a red top (RJ) was received • Save • Save stickers for decant exercise
ORM- Receiving Future Orders • Restricted vs. Unrestricted • Tests w/ incorrect cont. types should be canceled and the floor should be informed. • DO NOT receive samples you do not have. • Samples that do not meet integrity standards should be canceled and the floor should be informed. Proceed to Exercises (skip #3)
Exercise #1 (Future Orders) • Collect Time +1 • Order a UA and UCX • Enter CCS in results entry screen • In ORM, select to view only unreceived orders. • Receive each test individually with 07 and NVP • Enter container types UA for UA and MC for the UCX • Route • Labels will now generate • Save UA sticker for credit exercise.
Exercise #2 • Order (+1) OGTT, CBC, and PREALB • Receive in ORM using 07 and NVP • Enter container types (G1, G5, LA, RN) • Route • Save stickers for Decant and Tracking Exercises
Exercise #4 • Order (+1) CMP, INSUL • Receive in ORM with 07 Phleb Code and NVP • Enter Tube Type (RN) • Route • Save stickers for tracking
Crediting in Genlab • CRW vs. CR • Can also credit/cancel in ORM • Still need to hide results in ME/MEM Proceed to Exercises
Exercise #1 (GenLab Credit) • Order TESTFB and ESTRAD in the past. (RN) • Note Accn # • In “Credit,” Enter Accn # • Select “Remove Results” • Select the ESTRAD to credit • Enter WEXM for the reason and save • Save TESTFB stickers
Exercise #2 • Find UA sticker • In Credit / Click “Retain Results” • Select UA (Everything should be grey after selecting. This normal, you didn’t break it.) • Save • In “real life” ME/MEM would be used to BLNK results
Exercise #3 (ORM credit) • Order CBCA and EBVNAM as a NOW order. • Only SST (RN) was received. • Click Credit button and select Remove Results. • Select CBCA and enter NSP in the reason field. • Save and finish receiving. • Save stickers for tracking and decant
Decant Spot • Used to Produce Child CIDs for aliquots. • Most ARUP and Central Lab testing must go through decant • All AXSYM must pass the decant spot. • Label will say UVD if decant is needed. • Special Instructions may be given. • Each CID must be processed individually. • Specimen comments may be entered
Exercise #1 • Decant all previously saved stickers TESTFB EBVNAM TSHO PREALB ALC - HCG Or whatever you can find. ***TESTFB ALB will be run at sending facility***
Exercise #2 • Order a NOW order, receive, and decant an ANARUP and RFA • SST is the preferred specimen (RN) • This one is all on your own The Winner Gets a Prize!!!
Problem SPOT • Test routing issues go to Problem SPOT • Not the same as PRB test code • “Could not route” message will appear in ORM and Orders. • If orders do not match container types a box will pop up after trying to route. • You can Modify, Add, or Move to problem spot. • If moved to prob. spot, label will print. • Resolution at problem spot must occur before download can happen. • Query should be run of Problem SPOT to ensure resolution of all samples.
ADD-ONS • ANIQ or Specimen lookup will display all tube types and tests. • Tests should be added as new accn # and routed as an aliquot unless it is a whole blood test or an additional order like a BM2CMP
Transport Batches • This is for the Central Lab and PCMC ONLY!!!! • ARUP testing will still use ROB in SmartTerm • Sort specimens by temperature. • Filters are no longer available so everyone will have to be careful with temperatures. • Scan in CIDs to create batch • Print Batch List • Save and Print Batch barcodes – one for batch list and one for the bag (no more tracking forms)
Exercise #1 • Make a batch with these saved stickers. PREALB INSUL TESTFB Save Print the Batch barcodes Save the EBVNAM for the editing exercise
Viewing and Editing Batches • Pull the batch info up by entering the batch number • You can add or delete items from the list. • Try adding the EBVNAM to a previous batch. • Try deleting a few tests from previous batches.
Receiving Transport Batches • Specimens must be rec’d at destination in order to download. • Scan in or enter each CID and it will be removed from the Batch. • Scanning in a CID that is not on the batch will remove it from whatever batch it is on and place it on the batch you are working on. • Missing specimens should be followed up on and routed to the Problem SPOT if necessary. • Try receiving all the batches you made!!!
Exercise #2 • Order GLYHGB and HBSAG in the past (LA & RJ) • Put HBSAG through decant • Create Transport Batch with GLYHGB and HBSAG decant tube. • Put “Refigerated” in the comment field. • Print barcodes The Winner Gets a Prize
Done Racks • Similar to old Cache system but it is not bi-directional so racks will be set up to make counting easier. • Rack must be set up each time you start using it. • Rack types will be predefined and then selected from a pull-down menu • A barcode will print to label the rack. • Add your CIDs to the rack
Additional Rack Stuff • Adding to an existing rack • Reprinting a Rack ID label • Removing a CID from a Rack • Moving a Rack to the TRASH SPOT • Remove a Rack ID
Viewing Containers, Batches, and Racks • Use SMaRT to locate and review status: • Specimens • Batches • Racks • Try the Exercise on page 10 if you dare.
